The main purpose of the Advancement Office Administrator is to provide administrative support to the Advancement Office. This may include the Senior VP of Advancement, the Executive Director, five (5) Advancement officers, and the Director of Events. This role will also give support to advancement projects and events as needed. In this role, the Advancement Office Administrator will work to effectively facilitate communications, manage calendars, prepare materials, oversee special projects, and ensure the highest quality of donor care.
Donor Care and Communication
Answer in-coming phone calls on main office line and e-mails to assist donors making on-line gifts and answer questions via phone or e-mail, building relationships whenever possible.
Handle HubSpot inquiries, refunds, and cancelations.
Resolve or re-direct issues pertaining to donor gifts, using internal resources to research gift and donor histories as necessary.
Manage various requests from donors as quickly and graciously as possible,
(i.e., facilitating gifts, sending requested materials, and answering questions); all with the goal of building positive relationships with DTS donors.
Work closely with Advancement Officers assisting with written and verbal communication to major donors of the Seminary.
Keep track of donor prayer requests with special attention to follow-up.
Prepare donor cards for Advancement Officers– monthly birthday and anniversary cards, yearly Easter, Christmas cards, and other cards as needed.
Be available for year-end and special campaigns to answer calls and help facilitate donor gifts.
Office Administration
Update the DTS Advancement calendar with dates for when Officers will be traveling or on vacation.
Manage requests and communications through Asana for Officers.
Work with MarCom to order business cards, note cards, or other print materials for Officers.
Maintain and order kitchen supplies (coffee, tea, plates, napkins, utensils, etc.).
Maintain and order packing and supplies (bubble packaging, book envelopes, labels, and stamps).
Maintain and order supplies for office printers (toner and plain copy paper).
Assist with other office tasks/assignments as needed.
Project Management
Order Thanksgiving Pies for donors.
Coordinate with the pie vendors to set up orders and delivery.
Maintain delivery and mailed pie lists.
Conduct annual Thanksgiving Pie Officer meeting.
Maintain Thanksgiving Pie supplies.
Prepare materials for day of event.
Organize pies for Officers to deliver.
Mail pies for donors located outside of the DFW area.
Manage invitations for The Story of Scripture conferences.
Work with the Executive Director and Online Advancement Officer to update and send Story of Scripture invites to donors and friends of the seminary.
Provide regular updates on registration lists.
Assist with planning or travel arrangements for Officers as needed.
Help with DTS One-Hour Intensive events.
Work with Officers to coordinate postcard and email invitations to Advancement Point of Entry events.
Provide regular updates on registration lists.
Coordinate with caterer to provide lunch for guests.
Print names tags and welcome guests for the event.
Assist with content offers for online campaigns.
Financial Management
Complete expense reports, invoices, and reimbursements for Officers.
Submit purchase requisitions as needed.
Help with Impact Partner gift processing (3-5 times per year)
Update the Studio Enterprise database with information changes and record points of communication.
Special Events
Help at banquets (3-5 per year) – some travel may be required.
Provide Team Leader packets for the Annual Golf Tournament (in the spring).
Oversee Table Host packets for Impact Partner Luncheons and Dinners.
Coordinate with the Events team for Christmas Parties and Spring Suppers.
Assist with donor RSVP’s for various events.
Assist with other occasions or special events planned during the year as needed.
