As we continue to grow and make a significant impact in the lives of our clients, the need for an innovative and efficient Director of Operations becomes increasingly crucial. Reporting directly to our premier litigation attorney, Rolando de la Garza, this role is pivotal in enhancing our operational framework, ensuring that our firm's values and dedication to client service are seamlessly integrated into every aspect of our operations. The Director of Operations will be instrumental in streamlining processes, facilitating the onboarding of new talent, and reinforcing our commitment to excellence, setting the stage for the next chapter in our firm's legacy.

What you'll do:

  • Accountability around both quantitative KPIs (profitability %, revenue growth, average case value, average days to close cases, etc) and qualitative projects.
  • Develop and implement comprehensive onboarding processes for new employees, focusing on integration, development, and clear career pathways - the first 100 days of the team member’s experience, setting up the foundation for success.
  • Oversee HR functions, allowing the reallocation of tasks across other team members to focus on other core responsibilities.
  • Act as the the direct report to the entire pre-litigation team (think finance folks, intake, case managers, marketing team, receptionists, and so on)
  • Oversee the intake process, ensuring a smooth and efficient onboarding experience for new clients, aligning with the firm's commitment to exceptional service.
  • Manage the case management process, optimizing workflows and collaboration between legal teams to enhance case progression and outcomes for clients.
  • Manage and mentor the team, ensuring alignment with the firm's strategic objectives and fostering a culture of excellence and continuous improvement, including performance management and weekly check-ins.
  • Implement and oversee work-from-home policies, adherence to PTO time, and manage overall team cohesion, serving as the primary point of contact for operational inquiries and issues.
  • Develop and track Key Performance Indicators (KPIs) for various departments, utilizing data to drive decision-making and improve firm performance.
  • Coordinate monthly meetings across departments, including marketing, P&L review, and all-hands operations, to ensure transparency and alignment on firm-wide goals.
  • Spearhead special projects and initiatives aimed at improving operational efficiency, client engagement, and service delivery, ensuring the firm stays ahead in the dynamic legal landscape.

What we're looking for:

  • A seasoned professional with a minimum of five years in operations management, ideally with experience in the legal or personal injury law sector. A background in managing small to medium-sized companies is highly desirable, but we will also explore high-caliber DOOs from the likes of Amazon and other large companies that have well-established SOPs and processes.
  • You’ve had your hands in all aspects of a business (PnL, HR, Marketing, Sales, Client-Facing, Back-of-House Operations, and so on)
  • Demonstrated leadership skills with the ability to inspire, mentor, and drive a team towards excellence. Experience in managing cross-functional teams and fostering a collaborative environment is crucial.
  • Strategic thinker with a track record of implementing effective operational improvements, enhancing efficiency, and driving growth. The ability to foresee future challenges and develop proactive solutions is key.
  • Experience in modern operational software and technology platforms, including FileVine, O365, LeadDocket, and QuickBooks Online, to streamline processes and improve client service.
  • Excellent communication skills, capable of articulating complex operational strategies to diverse stakeholders, ensuring alignment and clarity across the firm.
  • A commitment to the firm's values of integrity, empathy, and client-first service, with a focus on developing and implementing processes that enhance client satisfaction and firm performance.
  • Ability to operate autonomously, make informed decisions, and lead with a results-driven, not effort-driven, approach. Experience in legal background, especially in personal injury law, would be advantageous but is not required.
