Job Title: Executive Assistant
Location
Primarily Remote Work but must be located in California – Sacramento County, El Dorado County, or Placer County (Pacific time zone). There will be occasional on-site meetings, local events and errands required and the potential for travel out of state 1-2x per year.

Job Description
We are seeking a highly skilled and organized Executive Assistant to support our CEO and contribute to the smooth operation of our agency.
As an Executive Assistant, you will play a key role in supporting the executive team by providing high-level administrative assistance. You will manage our CEO’s email inbox as well as her schedule, coordinate meetings, correspond with clients and vendors, and perform other essential tasks to ensure the efficiency and effectiveness of our executives. The ideal candidate will have a keen attention to detail, excellent communication skills, and a proactive approach to work management and problem-solving. The role will include personal assistant responsibilities which, in return, will help our CEO focus on managing our business.
Responsibilities
· Manage and maintain executive calendars, scheduling meetings, and coordinating appointments.
· Manage and maintain executive inbox, organization, prioritization of important/urgent items, cleanup etc.
· Organize travel arrangements, including flights, accommodations, and transportation.
· Prepare and distribute meeting agendas, minutes, and follow-up tasks.
· Screen and prioritize emails, phone calls, and other forms of communication.
· Coordinate with internal teams to ensure smooth workflow and communication.
· Assist with event planning and organization, both internally and externally.
· Assist with podcast and scheduling, both internally and externally.
· Prepare reports, presentations, and other documents as needed.
· Maintain confidentiality of sensitive information.
· Experience with payroll, human resources and/or bookkeeping considered a plus.
· Potential of travel for team meetings 1-2 times per year.
· Occasional after hour events in the local Sacramento area.
Requirements
· Bachelor's degree or equivalent work experience.
· 3 years of experience in an executive assistant or similar administrative role.
· Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Excellent written and verbal communication skills.
· Ability to multitask and prioritize effectively in a fast-paced environment.
· Exceptional organizational skills and attention to detail.
· Experience in a marketing agency or related field is a plus.
· Ability to maintain a high level of confidentiality and professionalism.
· Standard hours of work are Mon-Fri 8am-5pm Pacific time zone.
