Position Summary:

Provides technical assistance in the daily operations of Covenant Health Properties Management. Serves as liaison/customer service contact for assigned tenants for over 2.5 million square feet of properties in Covenant owned buildings on ten (10) Covenant sites in addition to all off campus leased properties. Coordinates all leases with facility CAOs for approval in addition to lease billing/collection, renewal dates, maintenance, housekeeping, waste management, tenant improvement proposals, etc. Additionally, manages and negotiates new leases and renewals between Covenant Health tenants and outside Landlords. Coordinates information exchange between tenants and Covenant Health Properties on construction, renovation, and maintenance issues. Oversees the selection and ordering of supplies, furnishings, signage, and equipment on new construction projects as directed.

Responsibilities

  • Serves as liaison/customer service contact for assigned tenants, associations, and partnerships regarding lease maintenance, housekeeping, waste management, tenant improvement proposals, vendor contracts, interior design, etc. Coordinates information exchange between tenants and Covenant Properties on above issues as appropriate. Promotes and maintains good physician/tenant relations by visiting and evaluating assigned properties on a quarterly basis. Inspects facilities and oversees building maintenance/vendor and operational activities. Coordinates service contracts (e.g., lawn service, pest control, etc.), vendor contracts, etc., for Covenant Health Properties.
  • Monitors the trial balance accounting information to assist with collections and past due accounts. Enters annual budget information for assigned properties and manages monthly variance reports.
  • Negotiates new leases and lease renewals for both Covenant owned properties and properties leased from outside Landlords. Renews all leases in a timely manner and follows all Stark Regulations regarding market analysis data, Conflict of Interest reports, and Office of Inspector General checks. Ensures rental payments are consistent with Fair Market Value in an arms-length transaction and are not determined in a manner that takes into account the volume or value of any referrals.
  • Coordinates and meets with Real Estate companies outside of Covenant Health to negotiate leases at buildings and locations that are not owned by Covenant Health.
  • Negotiates and assigns scheduled use schedule and coordinates build-out and all equipment purchases for timeshare suites within Covenant Health owned properties.
  • Maintains and operates each assigned property within the constraints of each individual budget. Directs the purchasing of supplies and equipment for use on leased properties. Receives and takes action on all complaints in assigned buildings. Works closely with Plant Engineering to monitor issues and update tenants.
  • Prepares the final lease agreements, lease renewals, lease abstracts, service contracts, and vendor contracts for signatory approval by the Vice President of Covenant Health Properties.
  • Manages physician partnerships, condo associations, and clinics. Functions as liaison between physicians, tenant partnerships, condo associations, and other department heads regarding operational matters relating to real estate properties. Attends any condo association meetings and prepares annual budgets for condos.
  • Coordinates coding of invoices for Workflow on payment of invoices for properties managed.
  • Prepares Leadership Notification forms for all transactions, including capital expenditure requests, applicable within the Covenant Health Properties. Prepares all tenant improvement capital requests and maintains documentation in file of quotes, approvals, and expenditures.
  • Coordinates all tenant improvement allowances, obtains bids as necessary, coordinates improvements by working with Architect to design the suite, and assures allowance is consistent with a written appraisal. Facilitates information exchange between tenants and construction regarding proposed construction/renovation projects and/or tenant improvements. Assures that any excess allowance is repaid by the lessee on commercially reasonable terms.
  • Arranges and conducts tours of properties for potential tenants and assists in obtaining costs for build-out/renovations and estimates for moving, telephones, etc. Provides informational packet identifying resources for relocation, keys, and relevant phone numbers for disposal of moving boxes, etc., prior to move-in day. Conversely, coordinates all final walk-through inspections and retrieving keys for vacant suites at move-out.
  • Works with construction on new building projects to determine furniture and equipment needs within the premises. Completes a spreadsheet showing equipment in each room of new facilities including costs, vendors, codes, etc. Works with supply chain to coordinate delivery and installation of equipment, furniture, and supplies. Remains onsite for delivery and installation.
  • Assists in marketing properties available for lease; shows properties to prospective tenants; and works to promote and maintain good physician/tenant relationships. Maintains property keys and otherwise controls non-tenant access to vacant properties.
  • Attends meetings as required and participates on committees as directed. Attends and serves on professional/civic service organizations as hospital representative.
  • Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested.
  • Performs other duties as assigned.

Qualifications

Minimum Education:

College degree required; B.A. or B.S.

Minimum Experience:

Minimum of seven (7) years experience in a real estate-related field with understanding of real estate terminology and real estate/property management principles and procedures. Must be computer proficient in Microsoft Word and Excel. Must have strong organizational skills and detail orientation. Must have excellent oral and written communication skills, ability to work independently with a minimum of supervision, ability to handle multiple tasks simultaneously, and the ability to establish rapport and interact effectively and diplomatically with physicians and all levels of management and outside professionals and service vendors.
