Corbin Consulting is growing engineering consulting firm of 125 staff members with offices in Beaverton, Oregon and Tempe, Arizona. Our clients are world leaders in advanced technology and industrial production.
We are seeking an Administrative Assistant position for our Tempe office who will collaborate with knowledgeable peers and mentors with a wide range of experience levels. This is an exciting opportunity to get in on the ground floor of a new office serving industry leaders.
Responsibilities:• Support project managers, engineers, architect, and technical staff and provide project facilitation/coordination.• Prepares meeting minutes for various projects and distribute to internal and external project team members.• Draft and proofread a wide variety of project reports, letters and correspondences, and proposals and other marketing materials; type from rough draft, verbal instruction, or independently compose correspondence and reports related to assigned area of responsibility.• Maintain and update project schedule and funding spreadsheets, coordinating with engineering team members, accounting, owners and contractors to receive and distribute information and updates.• Assist with onboarding and orientation of new staff; coordinate client badging, background checks and drug tests; provide first-day instructions, and assist with team member introductions and corporate procedures.• Take initiative in problem-solving; independently handle situations using professional consideration and judgement; use initiative to ensure matters requiring attention are handled appropriately and expediently.• Monitor accuracy of own work; recognize and corrects errors; maintain accurate records; accomplish tasks thoroughly through concern for all the areas involved; assures project activities are performed according to expected timelines and meet high quality standards.• Maintain organized workflow and schedule, and able to switch from task to task without impeding other team members or project schedule in meeting deadlines.• Assume ownership of given tasks and duties and their corresponding deadlines including overall quality and reach out to team members when roadblocks and other issues arise.• Technical resource for MS Word, Excel, PowerPoint, Outlook, and Bluebeam, and other office software as needed.• Coordinate and work with other admin staff in general day-to-day project support.• Exercise discretion and maintain confidentiality in carrying out responsibilities.• Perform other related duties as assigned

H.S. Diploma with 2 years of experience in the field or in a related area, or associate's degree with 2-4 years of experience in the field or in a related area is preferred.• Excellent communication skills and team player.• Possess basic internet fundamental skill set: perform basic but efficient internet searches and knowledge in utilizing google drive or OneDrive and other basic Microsoft Office software products.• Highly organized.• Ability to learn quickly and grasp new concepts.• Dedication and commitment, including punctuality and the willingness to do what it takes to get the job done.
