CopperPoint Insurance is Hiring an Executive Assistant to Regional President Near Phoenix, AZ

The successful candidate will be one who is comfortable working in a dynamic, fast-paced roll-up your sleeves, team-focused environment while managing with precision the most intricate of details. Intuitiveness, maturity, tact, critical thinking, and professionalism are crucial to being successful in working within the company’s high-energy executive team environment. The successful candidate must also be comfortable interfacing with high-profile business stakeholders such as the executive team and board of directors, business partners, and the broader leadership team, always maintaining the highest level of tact, poise, and confidentiality. The EA will interface well with all levels and departments of the company and its clients and partners and will always represent the executives in a highly professional and positive manner.

Job Responsibilities:

  • Understand organizational structure and strategic objectives, cascading key messages
  • Maintains executives’ appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Provides all necessary information to ensure the senior executive is prepared for meetings/appointments
  • Takes accurate notes during meetings or provides general assistance during presentations/meetings
  • Coordinates and processes expense reports, corporate credit cards, and invoices
  • Corresponds on behalf of the executive with agents, clients, and colleagues as directed, maintaining a positive and collaborative environment
  • Welcomes guests and customers by greeting them in person or on the telephone and answering or directing inquiries
  • Researches and develops documents and presentations to prepare the executive for meetings and prepares reports by collecting and analyzing information
  • Exhibits an understanding of the company’s organizational structure and strategic initiatives, ensuring the focus remains on key objectives
  • Creates and distributes professional correspondence in traditional, electronic, and social format

Qualifications:

  • Minimum 8-10 years or equivalent work-related experience supporting C-level executives and experience working with senior executives and/or boards of directors
  • High level of emotional maturity and professionalism. Ability to work in a discreet manner. Maintaining privacy and confidentiality is a must.
  • Ability to operate in a dynamic environment, work independently with minimal supervision, take on multiple tasks, shift priorities quickly, prioritize, and achieve timely and thorough completion of assignments, while remaining extremely adaptable to ever-changing needs
  • Strong interpersonal skills, including the ability to form and maintain effective working relationships in a team environment, and a willingness to provide support and assistance to other team members and executives as needed
  • Strong planning and organizational skills and key attention to detail; demonstrated track record of efficiency and continuous improvement; exhibits a “sense of urgency” and “extra mile” mentality
  • Well-developed and effective written and verbal communication skills, with an excellent grasp of English grammar, punctuation, and format.
  • Exceptional computer skills including intermediate or high-level proficiency in the Microsoft Office Suite of products, including Outlook, Word, Excel, PowerPoint, and other business applications. Experience with Microsoft Teams is a plus.

Salary Range:

  • $85,000.00 - $95,000.00 annually
  • Compensation may vary dependent on skills, experience, education, and geographical location.
  • In addition to base salary, compensation may include an annual discretionary bonus.

Benefits:

  • Employees and their families are eligible to participate in CopperPoint Insurance Companies benefit plans including medical, dental, vision, short-term disability, long-term disability, life insurance, a health savings account, a flexible spending account, and a 401k plan.
  • Employees will accrue 0.0769 hours of Paid Time Off (PTO) per paid hour, which may total 20 days a year. In addition, employees will also receive 10 paid holidays throughout the calendar year.
