Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Transcribe notes and messages accurately
- Perform clerical duties such as filing, photocopying, scanning, and faxing
- Assist with order entry and maintaining inventory records
- Coordinate and schedule appointments and meetings
- Assist with event planning and coordination
- Maintain office supplies and ensure they are well-stocked
- Assist with proofreading documents for accuracy
- Provide administrative support to the team as needed
Requirements:
- Previous experience as a receptionist or administrative assistant preferred
- Proficient in using Google Suite (Docs, Sheets, Slides) for document management and collaboration
- Familiarity with QuickBooks or other accounting software is a plus
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in transcribing notes and messages
- Ability to maintain confidentiality of sensitive information
- Strong problem-solving skills and ability to work independently
