COMMUNITY LEGAL AID SOCAL is Hiring an Operations Assistant (On-site) Near Santa Ana, CA

Description

Under the direct supervision of the Operations Manager, the Operations Assistant provides on-site operations and administrative support for CLA SoCal. This position travels to CLA SoCal facilities as needed to provide front desk and other coverage. Utilizing knowledge of CLA SoCal policies and procedures, the Operations Assistant handles routine office functions to ensure smooth operations. This position also requires an understanding of office productivity applications such as Microsoft Office 365.

Responsibilities 

  • Perform multifaceted general office support, including answering phone calls, copying, faxing, mailing, emailing, and scanning.
  • Logs, scans, and processes all incoming mail and supports outgoing mail as needed.
  • Provides front desk coverage at all CLA SoCal offices as needed, greeting and assisting clients, visitors, and vendors. 
  • Supports monthly and quarterly funder reporting. 
  • Prepares letters, memos, forms, and reports according to written or verbal instructions.
  • Enters and/or reviews data. Prepares files. Scans documents. 
  • Receives and processes office and building supplies for the Santa Ana offices.
  • Supports legal and other workshops and meetings with registration, preparation of materials, and logistics. 
  • Coordinates conference and training registration, as assigned. 
  • Supports operations functions and projects such as employee onboarding, purchasing, etc. as directed. 
  • Assists Directors of Operations and Legal Services in calendaring, and appointment scheduling using Doodle Poll.
  • Coordinates and supports department communications, as directed, and uploads documents using SharePoint.
  • Creates and/or updates Excel spreadsheets as required.
  • May support volunteers working in Operations.
  • Works with a multicultural perspective of inclusion and diversity.
  • Comply with applicable federal, state and local regulations and law, and funder requirements. 
  • Other duties and projects as assigned to meet the needs of the business.

Requirements

  • Degree in business administration, communications, or related field and/or a combination of education and experience. 
  • Ability to support our staff by working with them in-person Monday – Friday.
  • 2 years of experience as an Operations Administrative Assistant or in a similar capacity.
  • Personal vehicle, California driver’s license and automobile insurance. 
  • Information gathering and monitoring.
  • Planning, calendaring, and organizing.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Detail oriented and highly organized with ability to manage several projects at once.
  • Ability to take initiative and prioritize tasks.
  • Strong working knowledge of MS Office 365 including Word, Excel, Outlook and SharePoint. 
  • Bilingual Spanish - Required.
  • Ability to model the organization’s values (compassion, collaboration, trust, accountability, and equity) in personal behavior and throughout administration processes.
  • Experience working for Non-Profits and/or legal organizations.
