Community Colleges Of Spokane is Hiring a Humanities and Social Science - Administrative Assistant 2 Near Spokane, WA

Starting salary for this position is: $3,145 (Monthly).

Employees starting at the entry step of this range receive salary step advancement after six months and every 12 months thereafter. If an employee starting at anything higher than the entry step of the range, will have salary step advancement after 12 months and salary step advancement every 12 months thereafter until they reach the top of the salary range. Each salary step advancement will be approximately a 5% increase in salary.

SFCC is one of two accredited community colleges that comprise the Community Colleges of Spokane (CCS). Serving about 6,000 students, SFCC endeavors to be an educational leader and a responsive partner with the community and region, offering access to relevant programs of the highest quality. We offer a large liberal arts/transfer program (approximately 75% of total enrollment) as well as state-of-the-art professional technical programs (about 25%). In addition to serving the urban and suburban population in greater Spokane, CCS provides educational services to rural communities throughout a 12,302 square mile region in Eastern Washington. This region includes all of Spokane, Stevens, Whitman, Ferry, and Pend Oreille Counties as well as portions of Lincoln County.

The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Administrative Assistant 2 in the SFCC Humanities and Academic Intl. Division.  

JOB SUMMARY
Reporting to the Dean of Humanities and Social Sciences (H&SS), the Administrative Assistant 2 works in concert with the Office Manager to provide administrative support for the division. This position also works collaboratively with the Director of Drama and instructional technician to administratively support the Spartan Theater and the Drama Program.
The Administrative Assistant 2 is responsible for independently planning, organizing and prioritizing a variety of complex projects and assignments essential to the division. This position provides administrative support to meet the needs of the dean’s office, the H&SS departments and division faculty and staff, representing the dean to employees and students.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES
  • Serve as the resource person primarily for building 5 for: *
    • Mail services, shipping and receiving (Central Services).
    • Communicate with Security as needed.
    • Manage, order, and maintain supplies for the faculty, work rooms, print rooms and study rooms.
    • Submit Information Technology (IT) tickets as needed. 
    • Submit facility work orders for building maintenance.
    • Act as the steward of purchasing cards (P-Cards), complete transactions and reconciliation. 
  • Assist the Director of Drama and instructional technician with the Spartan Theatre and H&SS outreach activities: *
    • Schedule and promote events.
    • Communicate with community partners and collaborate with Student Affairs offices.
    • Manage the ticketing process of the Spartan using Ticketspice; operate the box office during productions. 
    • Coordinate with Community Colleges of Spokane Marketing department. 
  • Assist the Office Manager with the coordination of the faculty evaluation process for H&SS faculty: * 
    • Track the evaluation timelines for each faculty member in the division. 
    • Create and maintain digital storage archives for evaluation committees.
    • Review and update the Master Tracking List for the division.
    • Oversee the coordination and compilation of student evaluations for non-tenure track H&SS faculty members.
  • Assist the Office Manager with quarterly class scheduling, instructor schedules, tracking faculty workloads, and the maintenance of division records and tracking sheets. *
  • Manage communication portals (web site, campus monitors, social media, etc.) for the division in collaboration with the Office Manager. *
  • Support the Dean with academic program review scheduling, record keeping, correspondence, and meeting logistics. *
  • Maintain records of incoming and outgoing correspondence and documents and follow up on work in process. *
  • Provide administrative support for other divisions, as needed. 
  • Participate in supporting Guided Pathways initiative, as needed. 
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *

MINIMUM QUALIFICATIONS
  • Associate degree; or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.

  • Ability to maintain a high level of confidentiality.

  • Microsoft Office certification; or an equivalent mix of education and/or two-five years current experience that demonstrates the candidate meets the competency requirements for this position as well as posses to learn new software as needed. 
DESIRED QUALIFICATIONS
  • Bachelor’s degree in business administration, public administration, or related field.
  • One or more years of administrative assistant experience, or equivalent. Knowledge of bookkeeping and record keeping functions.
  • Experience with student management systems (e.g., PeopleSoft).
  • Experience with higher education environments and processes.
TOTAL COMPENSATION WITH BENEFITS $53,521 - $67,436.
 
Total compensation is an estimate based upon adding the following amounts together:
  • Base compensation of $37,740 - $50,088, plus 
  • Current employer-paid health and related benefit contribution rates, plus

  • Median retirement fund contributions. 
The actual total will vary depending upon each employee's enrollment choices.
Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. An offer of employment will not carry with it any responsibility or obligation on the part of the district to sponsor an H1-B visa. CONDITIONS OF EMPLOYMENT
  • Full-time schedule (12-months, 40-hours a week).
  • 6-month probationary period.
  • This position is overtime eligible.
  • May require local or regional travel. 
  • Criminal background check is required.
  • May work nights or weekends as determined by the supervisor.
