The Executive Assistant is a pivotal role designed for a dynamic individual who thrives on working closely with senior leadership and contributing to support the strategic operations of a public accounting firm. With flexibility to pivot priorities swiftly, the individual will have considerable autonomy and the ability to see projects through from concept to completion. This role is in-office with working hours from 8am to 5pm, Monday through Friday. Occasional overtime may be required for events or special projects. Essential job functions: Manage and maintain executives' schedules, appointments, and travel arrangements. Coordinate and arrange meetings, including gathering and preparing agendas, providing reminders, and setting up technology for virtual meetings. Act as a liaison between the executives and staff members or external contacts. Handle incoming and outgoing communication on behalf of executive, including emails, phone calls, and mail. Gather documents to prepare executive for internal and external meetings. Prepare and edit correspondence, communications, presentations, and other documents. File and retrieve documents and reference materials. Manage and maintain executive documentation and filing systems. Assist with project management by coordinating with team members, tracking progress, and ensuring deadlines are met. Assist with special projects as assigned by the executive, which may involve research, coordination with other departments, and implementation support. Handle sensitive and confidential information with discretion, ensuring that privacy and confidentiality are maintained at all times. Assist with the preparation and submission of the executive’s expense reports. Provide general administrative and clerical support, including but not limited to, photocopying, scanning, and faxing. Qualifications: High school diploma or equivalent, or a combination of education and related professional experience. At least 3 years' experience in an Executive Assistant role or related administrative capacity. Exceptional command of written and spoken language, with outstanding proofreading and editing skills. Proficiency in MS Office suite, particularly Excel and PowerPoint, Smartsheet, and an understanding of basic financial management and budgeting principles. Excellent organizational and detail-oriented skills, coupled with strong interpersonal abilities for effective collaboration. The foresight to proactively address needs and the autonomy to drive tasks from inception to completion. Pay Rate Range: $32.58 per hour minimum to $48.87 per hour maximum pay range Benefits: Clark Nuber offers 100% paid insurance premiums (medical, dental, vision, life, short-term & long-term disability, and accidental death & dismemberment insurances) for employees and partially paid premiums for dependents.
