CityTeam Ministries is Hiring a Project Coordinator Near Oakland, CA

Description

The Program Coordinator will provide support to CityTeam in the Neighborhood (CTN) as we continue to provide essential food and services for those in need. The Program Coordinator will help with a variety of tasks to help us distribute food at our mobile food pantry locations and manage the pop-up closets. The Program Coordinator will take an active role working with volunteers at various pantry locations, and pop-up closets. It is important that the Program Coordinator has a customer-service focus, ensuring all of our guests and volunteers have a positive experience. 

This Program Coordinator will also help with a variety of tasks to help us distribute food at our mobile food pantry locations. This includes but is not limited to loading & unloading with a forklift, driving a box truck for pickups & deliveries, registering, and checking people in on an electronic tablet, supervising volunteer groups and physically packing, moving, and distributing food. You will work cooperatively with various partners located in communities throughout Alameda County. The Program Coordinator must be well-organized and provide outstanding customer service as you interact with a wide variety of people including staff, clients, and volunteers. There are lots of details that go into providing a quality volunteer experience, and we need someone who can be positive, follow through, and delegate to create an efficiently run program. 

The Program Coordinator is a full-time non-exempt position wrapped up in a Christian environment that values Teamwork, Accountability, Humility, Innovation, and Joy. ESSENTIAL FUNCTIONS

VOLUNTEERING

  1. Develop and implement effective volunteer and recruitment techniques.
  2. Operate Volunteer Hub ensuring accurate tracking of volunteer hours, running, and submitting reports, and providing staff with Volunteer Hub assistance. Create custom registration links, check-in sheets, and nametags for volunteer groups.
  3. Host Volunteer groups: Confirm registrations, welcome guests, oversee check-in and check-out procedures, and provide instructions and support to groups during their visit.
  4. Coordinate with Human Resources to ensure background checks are completed for applicable volunteers before their volunteering opportunity begins.

FOOD PANTRY & WAREHOUSE

  1. Oversee, execute, and lead all CityTeam Oakland mobile food pantries. As of 3/25/24, there are 19 mobile food pantries throughout Alameda County. 
  2. Efficiently check in or register guests using a tablet or smartphone and provide outstanding customer service to CTN Church Partners, volunteers, and guests by staying calm, friendly, and professional.
  3. Using the completed Order Form and following all safety measures, prepare pantry orders and unload deliveries that may include operating a forklift and pallet jack and follow the proper receiving protocol for tracking and storing of goods. 
  4. Collaborate with CTN, Mobile Pantry Partners, Program Managers/Directors, and volunteer coordinators to create new or oversee existing volunteer opportunities that increase volunteerism and raise awareness of CityTeam throughout the community. 
  5. Provide logistical support with CTN for seasonal and special events, barrel drives and other projects. 
  6. Complete and pick up orders from Alameda County Community Food Bank. 

POP-UP CLOSET

1. Coordinate, maintain and organize inventory flow of clothing donations.

2. Coordinate with Volunteer Coordinator to arrange volunteers to sort clothing and supervise as necessary.

3. Coordinate donation drop-offs from outside organizations and donors as needed. 

4. Set up clothing racks and prepare to load to Pop-Up Closet site. 

5. Take the lead in registration and signing up new clients.

6. Additional duties and responsibilities as assigned by the Operations Manager. 

Requirements

Required Education and Experience

  • High school diploma or equivalent
  • Computer literate and able to learn new software and computer programs quickly.
  • Proficiency with Microsoft Office Suite, especially Excel 
  • Proficiency with G-Suite and file sharing
  • Professional written and spoken communication skills
  • CA Driver’s License with a clean record

Preferred Education and Experience

  • Bilingual English & Spanish
  • Some college coursework
  • Customer service or administrative experience
  • Familiarity with Salesforce, Raiser’s Edge, Volunteer Hub, or other volunteer management software
  • Familiarity with CityTeam, addiction, and homelessness 

Physical Demands

  • Stand or sit for prolonged amounts of time
  • For special events, stand for a long period of time and move nimbly around crowded spaces
  • Walk, bend, twist, kneel, and reach
  • Talk and hear
  • Finger and hand dexterity to operate computer equipment
  • Type minimum 45 CWPM
  • Occasionally lift and carry up to 50 pounds
  • Push and pull pallets with a pallet jack of up to 800 lbs.
  • Specific vision abilities required by this job include close vision and the ability to adjust focus
  • Drive

Work Conditions 

  • This job typically operates in an outdoor environment that is subject to a variety of weather conditions, including hot and cold temperatures and windy or rainy weather and occasionally works in a professional office environment 
  • This role routinely uses standard office equipment such as computers, tablets, and phones
  • This job operates primarily in assigned local communities in Alameda County. 
  • This job operates in different outdoor settings in various low-income neighborhoods, where conditions are subject to the varying weather conditions (hot, cold, windy, wet)
  • While the work schedule will primarily take place during typical business hours Tuesday-Saturdays, occasional evenings may be necessary

  • Must have an intimate, personal relationship with Jesus Christ 
  • Must be active in a local Christian body of believers or at least pursuing community with other Christ-followers
  • Must have compatible theology on major issues of CityTeam's Statement of Faith
  • Must be committed to serving God and the body of Christ
