City of San Bernardino, CA is Hiring an Executive Assistant to Director Near San Bernardino, CA

Are you an administrative support/secretarial professional looking to join a great team with opportunity for growth and development? If so, The City of San Bernardino invites you to apply to be an Executive Assistant. The current vacancy is in the Human Resources Department; however, the list established will be used to fill future vacancies throughout the City.


We are looking for:

  • A self-starter who isable to work in a fast-paced environment.
  • Proficiency in Microsoft 365 products: Executive Assistants use Microsoft Office to schedule meetings, create documents, manage projects.
  • Experience performing complex tasks: You will be responsible for developing, monitoring, and analyzing complex budgets, and making recommendations.
  • Good writer: Can write well, using proper grammar and syntax: You will be responsible for writing emails, documents, flyers, and reports.
  • Demonstrated experience with highly sensitive and confidential office administrative and executive support functions

What you will usually do:

Provide a wide array of complex, diverse and confidential secretarial, administrative and executive support to a deputy director, division manager or leader.

1. Be involvement in broad department/division issues and interaction with top City management and elected officials on program and operational matters, some of which may be complex, sensitive and confidential.

2. Use word processing software, compose memoranda, correspondence, agenda items, reports, forms and other documents often of a highly sensitive and confidential nature; proofread typed and other materials for accuracy, completeness and compliance with City standards, policies and procedures; ensures materials, reports and documents for signature are accurate and complete.

3. Maintain calendars; schedules, arrange and confirm meetings, appointments, conferences and other events and activities; screen requests for appointments; make and confirm travel arrangements for the manager and other staff; submit conference registration; arrange hotel and flight reservations.

4. Receive and screen visitors and telephone calls, provide information and handling issues that may require sensitivity and sound independent judgment; respond to requests for information; conduct research regarding complaints received and refer issues to appropriate staff or take or recommend action to resolve the issue; receive, route and may process mail, documents, forms and other department/division specific documents.

Minimum Qualifications

Education and Experience:

High school diploma or G.E.D.;

AND

six (6) years of increasingly responsible office, administrative, or secretarial experience, at least three (3) of which were at an executive assistant level;

OR

an equivalent combination of training and experience. Associates degree preferred.

Licenses, Certifications, and Equipment:

A valid California driver’s license is required.

Physical Requirements and Work Environment:

Employees work under typical office conditions, and the noise level is usually quiet. While performing the duties of this job, employees are regularly required to sit, walk, and stand; talk or hear, both in person and by telephone; use hands repetitively to manipulate, handle, feel, or operate standard office equipment, reach with hands and arms; and lift up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Supplemental Information

City Benefits:The City offers an attractive compensation and benefit package, that includes:


  • Retirement -
    Participation in the California Public Employees’ Retirement System (CalPERS). Tier I Employees hired before 10/3/11: CalPERS 2.7% at 55; Classic members with less than 6 months separation: CalPERS 2% at 55, single highest year plan. New members, CalPERS 2% at 62, three highest year average plan.
  • Health Insurance
    • The City contributes $1,125.00 (Employee Only), $1,377.00 (Employee 1), or $1,841.00 (Employee Family) for medical, dental and vision premiums.
    • Eligible employees who waive all medical, dental, vision, supplemental life, and supplemental AD&D benefits will receive an annual “Health Insurance Waiver Stipend” of $4,000.00 every first paycheck of December.
  • Leave
    • Vacation - 80 hours annually , accrued bi-weekly; available for use after one (1) year.
    • Sick Leave - 96 hours annually, accrued bi-weekly; available for use after ninety (90) days.
    • 13 holidays, plus 18 hours of floating holiday time.
Life & AD&D Insurance- The City provides Term Life and AD&D Insurance.
  • Other - Optional Deferred Compensation Plan, flexible benefits plan, pre-tax childcare plan, employee assistance program, and all other benefits which are received by Management/Confidential unit employees of the City per Memorandum of Understanding.

Retirement for New Members - For employees hired 1/1/2013 or later and who are not a member of the California Public Employees’ Retirement System (CalPERS) or a reciprocal agency as of 12/31/12, or those who have been separated from a public agency which contracts with CalPERS or a reciprocal agency for six months or more, the retirement benefit shall be 2% @ 62; 3 year final compensation. New members will be obligated to pay 50% of the “normal cost” of their retirement benefits as required by State law.
