City of North Miami is Hiring an Executive Assistant (Development Services) Near North Miami, FL

Performs diverse and autonomous tasks, assisting the Director of Development Services in executing daily clerical and administrative responsibilities. This role involves administrative work of a highly responsible and confidential nature. Work includes assisting the Director in a broad array of administrative, budgetary, and clerical functions. The Executive Assistant aids the Director to ensure seamless operation and coordination among the department's divisions. Assignments are provided by the Director in the form of general instructions or broad program objectives. Work is executed with substantial independent judgment and critical thinking.
  • Manages scheduling for the Director;
  • Drafts, reviews and sends communications on behalf of the Director;
  • Prepares memos, letters, reports, and professional correspondence as requested by the Director;
  • Organizes and prepares for various meetings, including gathering documents and attending to logistics of meetings; 
  • Prepares planning commission and council packet with staff report, supporting documents, and agenda;
  • Answers and responds to phone calls, communicates messages and information to the Director;
  • Prioritizes emails and responds when necessary;
  • Coordinates travel arrangements;
  • Represents and assists the Director in preparing for community activities;
  • May serve as board secretary to various committees;
  • Maintains various records and documents for the Director;
  • Oversees the development/update of departmental standard operational procedures by the appropriate division staff as requested by the Director; 
  • Works with vendors servicing DSD to ensure proper services and timely agreement renewals and invoice processing;
  • Assists in the coordination of departmental budgets, and other finance-related activities; 
  • Responsible for handling and monitoring department expenditure and revenues through the City's financial software system;
  • Coordinates with Assistant Directors to monitor project deadlines based on Director's objectives;
  • Serves as DSD liaison with Communications and IT for public announcements, website updates and public engagement activities;
  • Oversees the administrative management of DSD, including compliance with the City’s administrative regulations; 
  • Coordinates and collates weekly reports of service status (Permits, TCO/COs, CUs, BTRs, Development Applications, impact/mobility fees, valuations, fees, collected, number of days in house, etc.);
  • Coordinates and assures appropriate response to constituent and other stakeholder requests (including FOIA) in a timely manner; 
  • May be assigned additional tasks. 
Bachelor’s degree in public or business Administration or related field plus considerable experience of an increasingly responsible nature in governmental administration.

 OR

 Associate degree plus three (3) years experience of an increasingly responsible nature in governmental administration.
 ADDITIONAL REQUIREMENTS:

 Possession of a valid Florida driver's license.
 
 Must be able to occasionally work weeknights
  • Considerable knowledge of public administration and project management; 
  • Considerable knowledge of City ordinances and regulations; 
  • Considerable knowledge of the principles and practices of accounting, auditing, budget, and management;
  • Good knowledge of research techniques, sources, and availability of information;
  • Ability to implement administrative procedures and evaluate their effectiveness;
  • Ability to exercise sound judgment and discretion in establishing, applying, and interpreting departmental policies and procedures;
  • Ability to analyze a variety of administrative, operational, and fiscal problems and make sound recommendations for solutions;
  • Ability to deliver proficient comprehensive reports through written and oral communication;
  • Ability to establish and maintain effective working relationships with co-workers, elected officials, the public, and representatives of other agencies;
  • Ability to meet, track, and plan specific goals, objectives, and key performance indicators;
  • Physically able to perform duties.
