Executive Administrator

Summary Of Position:

The Administrative Management Executive reports to the CEO and is responsible for day-to-day administrative business operations, drafting policies, procedures, correspondence, as well as review of a variety of grants, documents, reports and compliance/audit data/summaries which require the CEO’s approval. The position requires excellent communications, interpersonal, editing, writing, planning and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies, work effectively and efficiently with internal and external clients, have excellent self-awareness and self-management skills, and will be proactive in identifying efficient workflows and business practices. The position requires adherence to deadlines, timeliness in preparing signature ready work products, a definitive commitment to attendance and display integrity, to ensure all support activities are carried out consistent with the CEO’s vision and agency mission and values.

Essential DUTIES AND RESPONSIBILITIES:

Responsibilities include the following, and other duties may be assigned:

  • Plan and coordinate administrative procedures and prepare deliverables and to devise ways to streamline processes
  • Assist with staff recruitment, training, and supervision, allocate responsibilities and office space, and act as a mentor and role model for other administrative staff
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  • Ensure the smooth and adequate flow of information within the agency to facilitate other business operations
  • Assist with budget planning, forecasting, and allocation, and ensure that the executives adhere to the policies and procedures of the organization
  • Develop and improve policies and procedures in all departments and assist in updating these
  • Manage business development projects
  • Provide project and team support as needed; This includes participating in meetings, brainstorming sessions, and workshops, as well as contributing to the development and implementation of strategies, plans, and initiatives
  • Prepare effective and impactful written presentations including graphics used for decision making
  • Monitor progress of projects to identify barriers and recommend solutions to the CEO
  • Is involved in managing the budget and expenses of the executives they support. This includes preparing and reviewing invoices, receipts, and reimbursements, as well as tracking and reporting on the financial performance and goals of the executives
  • Is involved with creating and updating databases, spreadsheets, files, and folders, as well as ensuring that they are accurate, secure, and accessible
  • Perform data analysis, research, and reporting, and provide insights and recommendations to the executives
  • Support Board and Committee activities, preparation of documents and coordination of logistics
  • Any additional tasks as assigned

Qualifications:

  • Bachelor’s Degree, Master’s Degree is highly preferred
  • Outstanding oral and written communications
  • Excellent listener, collaborator and team player
  • Proven experience as administrative or executive manager
  • In-depth understanding of administration and management procedures and departmental and legal policies
  • Familiarity with financial and regulatory management principles
  • Proficient in MS Office, including Excel pivot tables and powerful PowerPoint presentations
  • Analytical mind with problem-solving skills
  • Excellent communications (verbal and written, including presentation skills), organizational and multitasking skills
  • Excellent self-management, maturity, soft skills
