Description

The Accounting Specialist - A/P will need to be proficient in QuickBooks and Excel. Full responsibility for Accounts Payable accounting functions including preparing, understanding and analyzing financial statements. Maintain daily GL activities and accounts payable. Familiarity with grant account coding and grant reporting helpful; must be able to multitask. Generate and maintain accurate and timely financial records. Is able to incorporate other Agency software data entry task.

Essential Duties and Responsibilities:

• Responsible for filing all documents and ensuring that these are current and professionally managed.
• Must have excellent proofreading and writing skills.
• Operates copier printer, scanner, FAX and other office equipment.
• Must understand priority of inquiry, so attention to detail is important.
• Data entry for A/P to track agency expenditures, to ensure timely remittances to vendors and other related financial activities.
• Code documents per agency procedures
• Assist in the preparation of internal financial reports
• Maintain timely and accurate financial records utilizing computer software.
• Maintain general ledgers and any required subsidiary ledgers
• Duties will include accepting and incorporating other administrative non-accounting data entry task
• Monitors and analyzes compliance with all terms of grants, advises manager of potential non-compliance and suggests course of action to supervisor.
• Prepares and/or reviews financial statement for financial compliance issues, errors, and budget variances.
• Prepares additional internal reports as needed by the program administrators and other management personnel and special reports as requested under direction of Sr. Director of Finance
• Maintains program disbursement records including government payments and/or grants.
• Calculate, prepare, and issue bills, invoices, account statements and other financial statements according to established agency procedures
• Immediately report discrepancies found in records to Supervisor
• Perform general office duties such as filing and handling routine correspondence.
• Maintain a clean and organized work area
• Attend meetings and events as required
• Have knowledge of all agency, diocesan, state and/or federal regulations regarding financial records and comply with same
• Participate in the continuous quality improvement (CQI) program.
• Performs other duties as assigned.

Requirements

Education and Experience:

• Associate degree in business or accounting with 2 years of relevant experience, or equivalent combination of education and experience is required.
