JobSummary :

As an AdministrativeAssistant you will play a pivotal role in supporting the efficientfunctioning of our operations. You will be responsible for variousadministrative tasks to facilitate the smooth operation of ourproperty maintenance services.

This role requires strongorganizational skills attention to detail and the ability tomultitask in a fastpacedenvironment.

EssentialDuties andResponsibilities :

Partner with themanagement team to ensure all maintenance jobs are scheduled andexecuted timely.

  • AdministrativeSupport : Provide administrative support to the management team andfield staff by managing schedules handling correspondence andorganizingdocuments.
  • CustomerService : Serve as the primary point of contact for propertymanagers addressing inquiries scheduling appointments and ensuringcustomersatisfaction.
  • RecordKeeping : Maintain accurate records of work orders invoices and otherrelevant documentation using our internalsystems.
  • Billing andInvoicing : Assist with the preparation of invoices billingstatements and paymentprocessing.
  • Scheduling andCoordination : Coordinate schedules for field staff technicians andcontractors to optimize productivity and meet clientneeds.
  • Quality Assurance : Gather proof of work done from maintenance staff ensuring work wascompleted according to clientspecifications.
  • DataEntry : Accurately enter data into our systems including clientinformation work orders and billingdetails.
  • General OfficeSupport : Perform general office duties such as filing scanningphotocopying and faxing documents asrequired.
  • Compliance : Ensure compliance with company policies and procedures as well asrelevant regulatoryrequirements.
  • TeamCollaboration : Collaborate with colleagues across departments toensure seamless communication andworkflow.

QUALIFICATIONS

  • Provenexperience in an administrative role preferably in a propertymaintenance or relatedindustry.
  • Proficiency inMicrosoft Office Suite (Word Excel Outlook) and other relevantsoftwareapplications.
  • Excellentcommunication skills both written andverbal.
  • Strongorganizational and timemanagement skills with the ability toprioritize taskseffectively.
  • Attention todetail and high level of accuracy in data entry andrecordkeeping.
  • Ability towork independently as well as part of a team in a dynamicenvironment.
  • Knowledge ofproperty maintenance terminology and practices is aplus.
  • High school diplomaor equivalent; additional qualifications in administration orrelevant field are a plus.
