CardWorks is Hiring an Executive Assistant Near Woodbury, NY

CardWorks Servicing ("CWS") is one of the largest privately-held provider of outsourcing services for bankcard-related products to banks and non-bank lenders in North America. CWS offers management expertise across the credit spectrum and supports both MasterCard and Visa accounts as well as a variety of private label debit, credit, stored value, and customer bankcards.

Position Summary:

This key role will provide executive level administrative support to senior leaders across the organization. The qualified individual will be responsible for day-to-day administrative functions, which will include calendar management and meeting scheduling, travel reservation booking, expense report preparation and periodic document creation through the Microsoft Office suite of tools. In the aggregate, this position will facilitate the executives’ efficiency and enable them to devote substantial time to the strategic, planning and execution-oriented aspects of their own roles.

To be successful in this role, you should be well organized, have strong time management skills and be able to act without guidance. This position will support the Chief Operations Officer, the Chief People Officer and the Chief Legal Officer.

Essential Functions

  • Schedules appointments and meetings, and manages executive calendars to maximize the executives’ efficiency and optimize their time, acting as the point of contact between the executives and internal/external clients
  • Communicating and coordinating with team members both within departments and across functions of the organizations, and multiple work sites/locations.
  • Shows and creates a positive and professional approach about the Company to coworkers, clients, client prospects, vendors, partners, and the public whether by telephone, mail, or in person
  • Exhibits polite and professional communication verbally and in writing.
  • Prepares documents as required by the executive, primarily through use of Microsoft Office tools, along with filing, scanning, organizing documents and mail
  • Completes small projects as requested, including those which may involve data collection, light research, task tracking, spreadsheet creation and the creation of documents, exhibits and presentations.
  • Makes executive travel arrangements, including booking flights, cars, and hotel or restaurant reservations as required. Prepares associated itinerary documents.
  • Prepares accurate and timely expense reports for the executive, for their personal review and signature.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Maintains supplies inventory by checking stock to determine inventory levels, anticipating needed supplies, placing and expediting orders for supplies.
  • Supports the leadership teams of the executive as required by performing tasks related to organization, coordination and strong communication.
  • May audit invoices and prepares payment requisitions
  • Attends and participates in meetings, in particular Organizational Area team meetings, and may take meeting minutes as required.
  • Serves as an informal ‘cultural steward’ within the Company, keeping abreast of general engagement levels, and notifying the executive of issues that may need addressing/intervention.
  • Performs other duties as assigned

Education and Experience:

  • Bachelor’s or other related degree is preferred
  • Five (5) years of administrative experience, particularly at the executive or leadership levels of an organization, is required

  • Professional demeanor and appearance as necessary
  • Ability to work remotely, and in an environment where constant oversight is not provided
  • Ability to maintains confidentiality and react to time-sensitive materials at all times
