Cape Beverage Distributing is Hiring a Temporary Administrative Assistant Near Cape May, NJ

What You’ll Be Doing:

  • Communicating with a variety of internal and external stakeholders on a daily basis including our Sales team members, our customers/accounts, and external vendor partners. Our next level customer service sets us apart from the competition and we expect it to be provided at every interaction.
  • Answering and returning phone calls and email inquiries timely while upholding our internal and external customer service standards.
  • Managing all the needs of our office including scheduling, answering phones, greeting guests or vendors, generating memos, opening mail, and filing documents. You will also maintain all office supplies and inventories as well as anticipating future needs and preparing accordingly.
  • Building and maintaining positive relationships with colleagues and vendors and leverage those relationships to support business needs.
  • Leading by example and uphold our company’s Core Values to promote a positive, constructive, and collaborative work environment.
  • Processing invoices, returns, credits, etc.
  • Updating customer/internal information in our various systems (EKOS, Encompass, VIP, etc.)
  • Calling on vendors or receiving calls to coordinate dock times to receive or deliver product.
  • Receiving incoming shipments from various vendors like USPS, UPS, and FedEx.
  • Assisting in the preparation of various reports and presentations for the Director of Sales and Operations. This will include working in Microsoft PowerPoint, Microsoft Excel, and Microsoft Word.
  • Performing general cleaning duties within the office and warehouse facilities between our regularly scheduled cleanings.
  • Handling sensitive information in a confidential manner.
  • Preparing orders by processing requests and supply orders; pulling materials; packing boxes; placing orders in delivery area.
  • Following operational procedures for all warehouse activities such as verification of incoming and outgoing shipments, handling, and disposition of materials, and keeping warehouse inventory current.
  • Opening bales, crates and other containers and organize as needed.
  • Conducting site inventory control processes, ensuring compliance with internal SOP’s and best practices.
  • Assisting with product rotation as needed.
  • Preparing parcels for mailing.
  • Organizing the warehouse to ensure all material and inventory are identified and maintained according to company requirements.
  • Performing item and material transfers from multiple locations.
  • Maintaining a safe and clean work environment.
  • Operating forklifts and pallet jacks in a safe, responsible, and professional manner.
  • Following prescribed maintenance guidelines, including making a pre-trip inspection before operating equipment.
  • Renewing & maintaining NJ/PA licenses and permits per state regulations.
  • Performing other duties as assigned.

Who You Are:

  • Hold a High School Diploma or equivalent with previous experience in an administrative role.
  • Technologically savvy and can easily navigate through a computer system and relevant applications or software.
  • Comfortable working in Microsoft Office Suite, including Outlook, Word, Excel and Power Point.
  • Enjoy working with Microsoft Excel to synthesize data to drive decisions. You should be proficient in Microsoft Excel as you’ll spend some serious time in Excel.
  • Highly organized with a strong attention to detail and enjoy problem solving. You’ll need to be self-motivated and comfortable with prioritizing tasks independently.
  • Exhibit excellent verbal and written communication skills and enjoy interfacing with internal and external key stakeholders.
  • Have the ability to sit for extended periods of time with occasional standing, bending, and twisting, perform repetitive tasks and repetitive movements, while working in an office environment.
  • Can comfortably hear and speak through a phone, with or without reasonable accommodations.

Job Summary:

We are seeking a Full-Time Temporary Administrative Assistant to provide administrative and facilities support to our Distribution Team at our location in Egg Harbor Township starting in mid-June 2024 through early February 2025. The Administrative Assistant is responsible for handling any incoming vendor deliveries, outgoing shipments, answering phones, and responding to customer/consumer inquiries.
