Position Overview:
The Advancement Administrative Assistant plays a crucial role in supporting the overall strategic enrollment goals of the institution. This position involves working closely with the Assistant Head of School for Advancement and the Director of Enrollment Management to best support the needs of the Advancement team.
Key Responsibilities:
Administrative Support:
Provide administrative support to the advancement team, including scheduling meetings, managing calendars, and handling correspondence.
Database Management:
Working with the Assistant Director of Enrollment Management and the Database Manager to ensure accurate donor and admissions information.
Maintain and update the donor and admissions database, ensuring accuracy and confidentiality of information.
Event Coordination:
Assist in planning and organizing advancement-related activities.
Communication:
Create and distribute admissions materials in a timely manner.
Donor Relations:
Assist in stewarding relationships with donors and alumni, including processing donations, sending acknowledgments, and responding to inquiries.
Research:
Conduct research on engagement strategies that would further benefit fundraising and admissions efforts.
Materials Management:
Assist in ensuring that appropriate office supplies are available at all times.
Collaboration:
Work closely with the advancement team, as well as other school staff and volunteers, to support fundraising and admission engagement efforts.
Record-Keeping:
Maintain accurate and up-to-date records of admissions progress..
General Support:
Provide general administrative support to the advancement office, such as filing, copying, and organizing documents.
Qualifications:
Bachelor's degree in education, marketing, business, or a related field preferred
Previous experience in admissions leadership, preferably in an independent school or higher education setting.
Strong communication and interpersonal skills.
Exceptional organizational and problem-solving abilities.
Familiarity with enrollment management software and data analysis tools such as Blackbaud and K12.
Commitment to diversity, equity, and inclusion in admissions practices.
A deep understanding of educational trends and best practices in admissions.
Demonstrated leadership and team management skills.
