Position Purpose

The Admissions Assistant will be responsible for managing customer inquiries, oversee the registration funnel, coordinate lead communications, and report on key metrics, target status, and trends for professional offerings under the four BrandEd schools — The School of The New York Times and City Football Leadership — Sotheby’s Institute of Art, The School of The New York Times, City Football Leadership Institute, and Condé Nast College of Fashion and Design. The successful candidate will have a strong background in admissions, sales, or customer service. This position reports to the Associate Director of Admissions, Professional Offerings.

Essential Duties and Responsibilities

Specific duties and responsibilities include the following, but the individual will also be expected to perform all the duties necessary which are customarily performed by a person holding this position. Other duties may be assigned.

  • Provide day-to-day support to the Admissions team, including making outbound calls to leads and registration starts, responding to inbound inquiries, and pulling enrollment reports
  • Serve as the initial point of contact and advisor for prospects and inquiries 
  • Maintain student information systems and CRM to update student information and statuses 
  • Perform routine record checks to ensure accuracy and integrity of all registration databases and student files
  • Along with the Associate Director, participate in policy and procedure development 
  • Oversee smooth functioning of the online application for professional and short course applications or registrations 
  • Manage and trouble shoot application/registration processes to ensure all payments are made in an accurate and timely manner. Maintain the program’s compliance with the company’s policies
  • Coordinate all associated correspondence, including invoices, wire transfer forms, proof of completion letters for employers, etc.
  • Provide direct support to the Admissions team in the effective delivery of internal and external recruitment events

The Admissions Assistant should have the following knowledge and abilities:

  • Experience working in admissions, recruitment, sales, or customer service 
  • Basic proficiency of Microsoft Excel, Microsoft Word, and Outlook
  • Experience working in a diverse environment and/or with students from diverse backgrounds and a demonstrated commitment and knowledge of diversity and inclusion in education programs
  • Proven ability to maintain the highest standards of written and spoken communication
  • A keen eye for detail
  • Experience with Salesforce a plus
  • Time management and multitasking abilities
  • Demonstrate professionalism and diplomacy in interpersonal relationships
  • Regular weekday (Monday-Friday) attendance/availability is required during core business hours
  • Ability to work additional hours, if necessary

Education, Work Experience and/or Licensure

  • Undergraduate degree
  • 1-3 years of work experience in a relevant position
  • Experience with online and other non-degree courses desirable
  • Must be legally authorized to work in the United States.
