Brodie Management is Hiring an Administrative Assistant Near Cockeysville, MD

Luxury Condominium located in Hunt Valley, MD is seeking a full-time Administrative Assistant available Monday-Friday, 8:30 AM-5:00 PM. The individual will provide administrative support to the Site Manager, Maintenance Manager, the Board of Directors and as needed. Must be detail oriented, organized, and have exceptional customer service skills. Fluent in Microsoft Office and forms of Association software (Building Link) is a plus.

Job Responsibilities:

· Processes rental/owner packets; adds new resident information into Building Link and spreadsheets as requested by the Site Manager.

· Manages office calendars

· Collects payments for administrative fees, key fobs, garage openers and stairwell keys, etc.

· Answers phones and emails, relays messages and answers general inquiries.

· Provides appropriate forms to staff and residents.

· Corresponds with vendors and residents via email.

· Submits Building Link tickets for maintenance requests as needed.

· Manages and maintains an inventory of office supplies.

· Tracks exterminator service schedule.

· Accesses Key Trak for lock outs.

· Files COIs and resident paperwork in resident’s file as well as on Building Link (settlement papers, correspondence, signed forms, etc.).

· Creates ID cards/badges for new employees and residents.

· Supports the Board of Directors and Site Manager in preparation for Board meetings.

· Sets up Zoom meetings and has the capability from home to attend these meetings.

Front Desk Support:

· Oversees the Front Desk staff and operations; provide guidance and direction; answers questions and ensures accessibility, after hours, to address issues; schedules coverage as needed.

· Trains Front Desk staff on Building Link and other systems used on the property.

Residential & Community Relations

· Supports the High View residents by addressing and resolving general and day-to-day inquiries, concerns, and needs.

· Schedule move ins/outs for residents, providing elevator lock outs, appropriate signage, and ensure no post move damage has occurred.

· Provides a high level of customer service and support to residents.

· Meets with realtors and potential/future residents to review the rules of the condominium. Ensures correct paperwork is completed and follows up as needed to ensure all parties have provided the necessary documentation.

· Interacts with residents regarding complaints and/or rule violations; works with Site Manager, Brodie Management and/or Board of Directors as needed to ensure resolution and/or escalation.

· Crafts and disseminates communications within the community related to planned maintenance, community events and the like.

· Mediates conflicts between residents to ensure successful resolution of issue at hand; keeps Site Manager and Board apprised appropriately.

· Plans and schedules community and employee events

· Coordinates resident moves in/out, ensuring appropriate communication and smooth overall process and ensuring a smooth process.

· Supports Site Manager, Board of Directors and Brodie Management in enforcing community and employee policies.

Job Requirements:

Education Requirements:

· High School diploma or equivalent

Core Competencies:

· Strong skills with MS Office products (Excel and Word), and Exchange email.

· Ability to quickly learn new work processes and guidelines.

· Ability to solve problems and escalate appropriately when needed.

· Ability to manage multiple competing demands and shift priorities on a regular basis.

· Strong communication skills, in written and oral form; active listening skills.

· Ability to synthesize large amounts of information into relevant details.

· Proactive approach to work responsibilities.

· Experienced computer and systems skills to maintain appropriate areas of Building Link and other systems used at the property.

Physical Requirements:

· Ability to work on-site on the property on a full-time basis.

· Ability to respond to emergencies on the property outside of normal work hours, as needed.

· Work is mainly sedentary.

Job Type: Full-time

Pay: $23.00 - $26.00 per hour
