General Description

The Administrative Assistant role will be responsible for providing administrative support to leadership, managers and other staff as needed, through a variety of tasks related to the organization ensuring that all administration tasks are completed accurately, delivered with high quality, and in a timely manner.

Essential Roles and Responsibilities:

  • Answer and direct phone calls.
  • Organizes and schedules meetings, appointments, and events.
  • Produces and distributes correspondence as requested; prepares and assembles reports, proposals, and other documents.
  • Established and maintains job and proposal files.
  • Reconciles and submits expense reports.
  • Orders office supplies and maintains inventory.
  • Arranges travel as requested.
  • Provides general support to visiting colleagues and visitors, as needed.
  • Maintains a neat and orderly office environment.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Work independently and unsupervised.
  • Gather and analyze data, reason logically and creatively, draw conclusions and problem solving. Make appropriate recommendations.
  • Ability to prioritize and organize, work well under stress, meet deadlines.
  • Skilled in interpersonal communication to assist with all levels of staff and clients.
  • Microsoft Office knowledge.
  • Knowledge of traditional office equipment such as copiers, scanners, shredders, and postage machines.
  • Excellent communication skills – written and interpersonal.
  • Ability to perform tasks in a safe and responsible manner.
  • Self-starter with a strong work ethic, positive attitude, and team player.

Required Qualification:

  • High school diploma or GED is required.
  • Minimum of one-year experience in an administrative support position.
  • Valid driver’s license is required.

  • Hearing: Must be able to hear audible safety alarms.
  • Visual Acuity: Must be adequate to perform above listed tasks in a safe manner and perform activities such as viewing a computer terminal and extensive reading.
  • Lifting: Must be able to exert up to 20 pounds of force occasionally and up to 20 pounds of force frequently, and up to 10 pounds of force constantly to lift, carry, push, pull or otherwise move objects, including the human body.
