Job Purpose

Responsible for providing high-quality administrative support on a variety of programs, events, and deliverables. To be successful in this role, you should be well-organized, have excellent time management skills and be a strong team player. Assist with the day-to-day operations of an office by doing tasks such as filing paperwork, answering phone calls, preparing documents for meetings, and managing the calendars of managers. 

Duties and Responsibilities

  • Performs a variety of administrative and clerical tasks such as ordering supplies, tidying the kitchens and common areas, cleaning up after events.
  • Provides support to managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
  • Handling administrative requests and queries from senior managers
  • Organizing and scheduling appointments with admin software
  • Effectively communicates with others by speaking clearly and personable and welcoming when answering incoming calls and greeting visitors.
  • Organize and schedule appointments.
  • Maintains the front desk.
  • Alert the management of potential security issues.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new dealers and suppliers
  • Maintain contact lists.
  • Schedule appointments and maintain calendars.
  • Schedule and coordinate staff and other meetings
  • Collate and distribute mail.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Write and edit documents form letters to reports and instructional documents.
  • Create and maintain filing systems, both electronic and physical.
  • Maintain, organize, and order general office supplies, including paper, pens, ink/toner, etc., to ensure teams have everything they need to succeed.
  • Greet and sign in visitors, guide them to the appropriate location and make them feel at home.

Requirements

Qualifications

  • Proven experience as an Administrative Assistant or Office Administrative Assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, MS Word).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task
  • High School diploma
  • 5 Years’ experience as an administrative assistant, depending on level (e.g., I, II, III, IV) in the [Biotechnology industry]

Working Conditions

Laboratory and office space requiring adherence to standard safety practices, with possible exposure to chemicals, blood borne pathogens, and other risks typically associated with working in the administrative department of a biological sciences research facility. 

Physical Requirements

Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to maintain attention to detail despite interruptions; strength to lift and carry office supplies, files and refreshments weighing up to 10 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.

The U.S. base salary range reasonably expected to be paid for this role is: $18-26 per hour. We may ultimately pay more or less than the posted range. Actual compensation packages are based on a variety of factors that are unique to each candidate including, but not limited to: skill set, depth of experience, education, certifications, and specific work location. The range displayed reflects the minimum and maximum target for new hire salaries for the job across the U.S. The total compensation package for this position may also include an annual performance bonus and/or other applicable incentive compensation plans. Biolinq also offers a comprehensive package of benefits including paid time off (vacation, holidays, sick time, parental leave), medical/dental/vision insurance, and 401(k) to eligible employees, subject to the terms and conditions of the applicable plans and any written agreement between the parties.
