Job Description:
The Front Desk Associate is a friendly face for guests, clients, and coworkers. This person will be responsible for answering phones, greeting guests in a friendly and professional manner and will provide support to managers and other employees with a variety of projects as assigned. This person will be comfortable working with a high degree of attention to detail, be proficient with Microsoft Office products and must also be able to tackle tedious jobs like data entry with accuracy and timeliness. He or she must be able to switch between tasks and manage frequent interruptions. Reports to Controller.
Job Duties:
• Have a friendly and professional attitude with clients, guests and other employees
• Answer phones and transfer calls accordingly
• Sort and distribute mail to appropriate individuals
• Prepare outgoing mail for shipment via United States Postal Service, UPS, or FedEx
• Maintain confidentiality of sensitive documents and information
• Check the fax machine and distribute incoming faxes appropriately
• Keep lobby/conference rooms tidy and prepared for meetings
• Provide directions to truck drivers
• Arrange hotel stays for clients and provide guests with information about Duluth and their visit to BendTec
• Maintain office supply inventory levels and submit orders to the Purchasing Manager
• Assist with trade show coordination, including ordering booth furnishings and shipping displays to show sites
• Ensure brochures and brochure inserts are ready to distribute
• Update and maintain internal office memos and administrative lists
• Call vendors to report maintenance issues with office equipment
• Process incoming job applications according to privacy and Affirmative Action policies
• Assist with printing and organizing bid packages for project managers
• Be ready and willing to help with projects from any department
Qualifications/Experience:
• A high school diploma or equivalent
• Self-motivated with the ability to work independently
• Comfortable in taking direction from a variety of management styles
• Able to complete tasks with minimal instruction
• Personable with a strong sense of discretion and confidentiality
• Complete data entry with an elevated level of accuracy
• Proficient in Word, Excel, and Outlook
• Excellent organizational and time management skills
• Excellent written and verbal communication skills
• Ability to maintain privacy and confidentiality as required by HIPAA
• Must be able to lift 40lb min.
• Must be authorized to work in the United States.
• Must be willing to undergo a background check and drug test, in accordance with local law/regulations.
