ESSENTIAL FUNCTIONS/RESPONSIBILITIES:
A. Function as nurse executive administrative assistant to the Dean of Nursing and faculty/staff.
B. Maintain the Department of Nursing documentation for all regulatory agencies.
C. Greet all visitors, staff, faculty and students of the College in a friendly and customer service-oriented manner. Serve as a contact for the College in relaying information to students by phone or in person.
D. Set up nursing student program specific files as needed. Assist with major projects and reports for the college, for KBN, and any other reports that may be needed.
E. Prepare and edit correspondence, communications, presentations and other documents.
F. Arrange and coordinate meetings and events.
G. Record, transcribe and distribute minutes of meetings
H. Monitor, respond to and distribute incoming communications
I. Supervise, coach and train lower-level staff. Evaluate lower staff with 10% input of annual performance.
J. Performing managerial duties in the absence of a manager is also one of the main duties of an executive assistant.
K. Co-ordinate project-based work; assist in the planning and execution of orientation and graduation ceremonies for the Department of Nursing.
L. Process all incoming and outgoing mail pertaining to nursing. Assist with direct/bulk mail efforts and coordinate re-entry, birthday and referral mailings.
M. Send designated faxes and make copies for nursing students, faculty and staff as needed.
N. Process invoices for payment if applicable.
O. Proctor standardized computer exams if applicable.
P. Excellent communication skills for internal and external interaction via face-to-face, text, email, and other forms of communication.
Q. Excellent verbal, interpersonal, and written communication, problem-solving, and customer service skills required.
R. Comfortable with teamwork and a high degree of accountability.
S. Performs other duties as assigned.
