My clients, a local university is conducting a search for an Administrative professional to support their executive team. This is a an onsite role and is critical in providing support such as scheduling appointments maintain the career development library, and preparing the recruiting schedule.
A few Responsibilities:
Provides general administrative support for day-to-day operations, events and programs of the Partnerships and Career Pathways. Is the first point of contact via telephones, emails and walk-ins and work on behalf of the department to maintain the highest professional standards.
Responds to meeting notices in a timely manner and assists in prioritizing meetings to be attended in order of importance.
Develops and provides statistical and financial reports, and graphic charts on fundraising activities and results for the department.
Uses Microsoft Office, SAP, PowerCAMPUS and other technology to assist with the preparation of presentations, charts, flyers, booklets, announcements, programs, etc.
Schedules all appointments and travel, makes arrangements for meetings and events, takes notes and prepares meeting minutes as requested. Composes and prepares routine and non-routine correspondence, reports and memorandums.
Manages department files and establishes a method for tracking, retrieving all documents related to donations, communications with prospective donors and scholarship dissemination.
Monitors budgets and prepares expense reports.
Handles and processes all incoming and outgoing mail, routes mail to appropriate office and follows up as necessary.
Maintains fiscal documentation for all receipts and disbursements, prepares and processes travel requests, leave forms, expense vouchers, office supplies requisitions and Agency Purchase Requests.
Preferred Qualifications:
3-5 years experience in an Administrative Assistant or Executive Admin role
Proficiency in Microsoft Office Suite, especially Excel.
Detail oriented, excellent customer service and communication skills
