As an Office Coordinator you will greet and assist visitors both in person and on the phone. Provides administrative assistance to the assigned Executive team, manager, and others as needed, to achieve the goals and objectives of the executive team and company as a whole. This includes, but is not limited to, managing calendars, scheduling large group meetings both internally and externally, handling of confidential documents and information, gathering information and preparing reports, customer service (emails, calls, in-person), coordinating travel, expense reporting, mail distribution, supplies management and catering.Job type: Full-timeBenefits:

Position responsibilities:
  1. Greets guests, facilitates security sign in, and provides support when needed in the reception area.
  2. Provides administrative support for Executives (including Vice Presidents, the President, and others) on an as-requested basis, including preparing correspondence for both internal and external viewing.
  3. Acts as a liaison between the various internal departments and external contacts.
  4. Manages all travel arrangements for Executives and occasionally for employees who report to them.
  5. Maintains Executives’ travel and vacation calendars.
  6. Supports Executives by preparing all requested documents and reports in a professional manner.
  7. Assists with new employee onboarding.
  8. Coordinates office supply orders.
  9. Maintains responsibility for organization of workflow room, to include putting away supplies in a timely manner.
  10. Monitors and reorders or purchases standard breakroom supplies.
  11. Maintains responsibility for organization of employee breakroom, to include stocking coffee supplies, unloading dishwashers daily, and periodic cleaning of fridge.
  12. Manages and maintains a clean and orderly environment in all Ardon common spaces, including meeting, conference, and training room spaces, and assists with A/V equipment setup as needed.
  13. Responsible for onsite meeting arrangements, including scheduling, equipment setup, meeting preparations and cleanup.
  14. Coordinates with catering vendors, including setup and cleanup following staff appreciation lunches, business meetings, and working lunch engagements.
  15. Assists in coordinating Ardon business forums; tracks invitations and RSVPs, sends reminders internally and externally, creates nametags for all guests, and keeps a current guest list.
  16. Responsible for the coordination of requested company festivities (e.g., anniversary party, holiday party, potlucks, team lunches, etc.), including facility decorations, staff appreciation, and celebration.
  17. Supports Marketing & Business Development efforts, which may include the creation of documents, surveys and other projects as needed.
  18. Assists with the documentation and tracking of marketing materials.
  19. Regular attendance in conformance with the standards, which may be revised from time to time, is essential to the successful performance of this position.
  20. Actively participates and provides support as needed to leadership and quality program staff to ensure activities related to the company’s quality management program and quality improvement activities maintain priority focus and are effectively executed. This may include but is not limited to activities that promote objective and systematic measurement, monitoring, and evaluation of services and defined Quality Improvement Projects (QIPs) that may result from such efforts.
  21. Complies with the company’s Human Resources policies, Employee Handbook, Code of Conduct, and all department policies and procedures, including protecting confidential company, employee, and customer information; attending work punctually and regularly; and adhering to good safety practices in all activities.
  22. Performs other duties and projects as assigned.
Required skills:
  1. High school diploma or equivalent.
  2. A minimum of 5 years office experience preferred.
  3. Typing ability of 40 wpm net.
  4. Computer proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  5. Knowledge of internet travel tools.
  6. Outstanding customer service skills.
  7. Strong organizational and detail-orientation skills.
  8. Strong verbal, written, and interpersonal communication skills.
  9. Ability to work well under pressure with frequent interruptions and shifting priorities.
  10. Ability to come into work on time on a daily basis.
  11. Must project a professional business image.
  12. Ability to maintain a high level of confidentiality and composure in handling sensitive company information.
  13. Ability to maintain patient confidentiality.
  14. Ability to work equally well in a team environment or independently with little supervision.
  15. Must maintain a valid driver’s license.
