Job Description

APEX Recovery LLC, an innovative and integrative treatment center, has an exciting career opportunity for individuals seeking to gain professional experience in behavioral health in the substance use, chemical dependency industry.

Job Summary:

Administrative Assistant handles routine and advanced duties for other professionals. Organize files, create correspondence, prepare reports and documents, manage calendars to schedule appointments, sort mail, prepare invoices and offer general staff support. Serve as an initial point of contact, answering phones and greeting visitors. Engage in event planning and meeting setup and implementation. Make travel arrangements and generate itineraries. The Administrative Assistant also provides general support to all Departments.


Essential Duties and Responsibilities:

  • Answer phones and greet visitors
  • Opening and closing corporate office
  • Ensuring the office is well-stocked and cleaned
  • Collecting payments
  • Schedule appointments and maintain calendars
  • Schedule and coordinate staff and other meetings
  • Maintain the office condition and arrange necessary repairs
  • Collate and distribute mail
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Write and edit documents from letters to reports and instructional documents
  • Create and maintain filing systems, both electronic and physical
  • Assist with bookkeeping duties, accounts payable and receivable.
  • Maintain cleanliness and clean up as required
  • Data entry
  • Drive company car for operational needs
  • Provide administrative support to office staff including CEO

Education and/or Work Experience Requirement:

  • High School graduate
  • Minimum of two years experience
  • CPR Certification

Personal Qualifications:

  • 2-3 years of related office and administrative work experience
  • Proficiency with Google Suite and Microsoft applications
  • Attention to detail, good writing and proofreading skills
  • Ability to maintain regular and timely attendance
  • Possess ability and interest in acquiring professional growth through continuing education
  • Has the ability to develop and maintain good working relationships with all center personnel, professional staff, representatives from government and community agencies, clients and their families, and the public
  • Desire to work with a growing company where systems need to be developed and implemented
  • Demonstrate a willingness and ability to learn and implement government regulations
  • Demonstrate a willingness and ability to implement Policies and Procedures. Be able to learn and utilize budget planning and implementation procedures
  • Be able to write in a legible and coherent fashion.
  • Team player

Required licenses or certifications:

  • CPR/First Aid
  • California Driver License

Physical Requirements:

  1. Move throughout the Residential Houses and community.
  2. Repetitive hand movement use and view PC. Use fax, telephone, and copier. 3. Sits or stand for a long period of time, reach, bend, climb, stoop, and lift to 25lb.
  3. Read and write, verbal and written communication, time management, and interpersonal skills.
  4. Prioritize, meet deadlines, and use sound judgment.
  5. Have reliable transportation, clean driving record, and car insurance as required by the state

Compensation/Salary will be dependent on experience.
