This position will work in a hybrid setting (in office 3 days a week) at our National Center office located in Dallas, TX!

Responsibilities:

Under minimal supervision of the Accounts Payable Manager, the Sr. AP Associate is responsible for ensuring the disbursement runs are processed according to the accounts payable calendar and daily administration of the Purchasing Card Program is conducted in compliance with American Heart Association policies. This role requires excellent customer service, strong organizational and interpersonal skills to be successful. You will be part of an AP team that supports the Association across all regions. Duties are but not limited to timely review and reconciliation of daily bank reports, support the Treasury and General Ledger teams of disbursement variance research, conduct verbal verification of suppliers banking information, PCard deactivations of terminated employees, monthly/quarterly reporting of past due expenses, research and resolve credit card inquiries, PCard spending limit review, merchant codes and reporting.

  • Processes weekly, monthly, and quarterly disbursement runs in an accurate and timely manner including obtaining appropriate approvals according to the Matrix of Authorities.
  • Ensures E-payables program payments are accurate and disbursed according to approved schedule. Communicates with the Association's treasury and banking institution to verify positive pay and/or electronic pay files as needed.
  • Assists management with various Accounts Payable reporting as needed (check registers, E-payables, audit, and tax reports, etc.)
  • Support the AP Vendor Master Data (E1 Address Book) team with direct deposit setup, pre-noting, and ACH funding rejects research.
  • Assists General Ledger team with reconciliation of research refund account and/or disbursement discrepancies.
  • Serves as primary support with 1099-year end filing requirements. Responsible for annual IRS 1099 filings.
  • Provides data of Board Members and Grant to Foreign entities to assist the Tax Department with filings of tax reports for 990.
  • Assists with accounts payable monthly and annual close process. Adheres to monthly and annual accounts payable deadlines and calendar. Works with the Associations Business Technology (BT) to resolve issues during the period-end process.
  • Ensures the research database properly interfaces to the E1 Accounting system and is reconciled every quarter. Files research-related disbursement documents according to record retention schedule as needed.
  • Updates and retains disbursement run standard operating procedures (job-aids).
  • Assists management with various accounts payable reporting needs (PCard audit reports, aging reports, audit reports, etc.) and special projects.
  • Assists management with accounts payable training classes and development of training materials for new hires, AP team members, and customers. Provides feedback and concerns regarding processing, unusual transactions, or non-standard processes to management.
  • Processes staff requests for PCard applications and replacement cards. Response to Purchasing Card requests for staff upon receipt and appropriate approval. Performs analysis on PCard transactions. Evaluates, opens, and closes merchant category codes. Reviews spend reports for inactive and declined PCards. Manages the auto PCard email reminders to staff and supervisors according to developed procedures and processes.
  • Provides requested information to external and internal auditors. Ensures proper PCard documentation is filed timely, adhering to the Associations policies and record retention schedules. Conducts special projects as requested according to established deadlines.
  • Coordinates with Human Resources to ensure PCards of terminated staff are deactivated promptly. Partner with Internal Audit and Payroll staff of potential payroll deductions for un-substantiated expenses and works with managers of terminated employees to clear expense of terminated employees.
Qualifications:
  • High School Diploma or equivalent.
  • Minimum five (5) years of experience in an Accounts Payable department. AP disbursements and credit card programs.
  • Proficient with computer applications including Windows, Excel, Word, PowerPoint, Automated Financial Systems.
  • Ability to compute arithmetic, analytically review detailed financial data and interpret results.
  • Ability to professionally communicate both in writing and orally, with all levels of staff, externally and internally.
  • Ability to work independently, think, reason.
  • Solve problems related to operations, using analytic problem-solving techniques, leading to appropriate resolution.
