Ambient AI is Hiring an Office Coordinator (6 month Temp Assignment) Near San Jose, CA

Position Overview

This temporary position is to support Ambient.ai from mid-March through the end of September. You will oversee and support office administrative and facility duties and ensure that Ambient’s offices in San Jose operate smoothly. This individual will maintain a comfortable, fun, productive, and safe work environment where Ambient’s employees can collaborate and do their best. This position is based in the Ambient.ai San Jose office. The ideal candidate should be able to work in person Monday through Friday, 9-5 p.m. Some evening and weekend availability for issues may occasionally be required. 

Responsibilities

  • Oversee and support office administrative and facility duties for all of Ambient’s offices
  • Manage office supplies and equipment inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail 
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure both in the US and abroad
  • Manage office budget
  • Develop office policies and procedures and ensure they are implemented appropriately for scale
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Responsible for ensuring a healthy and safe work environment for all of Ambient’s employees 
  • Responsible for planning company events - from holiday parties happy hours, etc. 
  • Will be responsible for ordering Company swag, facilitating our Anniversary recognition program, and other related programs
  • Working with the People Team, ensure Ambient’s new hires feel welcomed and are set up for success
  • Experience with calendar scheduling, travel scheduling, and expense reports
  • Light IT work, such as troubleshooting office Zoom rooms
  • Provide other administrative support as needed 
  • Responsible for managing all related vendors 
  • Responsible for managing lunch and snacks 
  • Responsible for managing Envoy for visitors and employees 
  • Other responsibilities as assigned

Qualifications

  • 2 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Strong communication skills and must be highly collaborative
  • Will naturally take ownership with the ability to operate without a lot of guidance
  • Experience at a high-growth start-up ideal - with an understanding and love for a fast-paced changing environment
  • This role will have access to confidential information - so should have good judgment and the ability to maintain confidentiality 
  • Should be creative and enjoy organizing and hosting events
  • Must be friendly and approachable
  • Must be proficient with Microsoft Office and Google products
  • Must be a self-starter and driven

We take a market-based approach to pay here at Ambient.ai, and pay may vary depending on multiple factors. The successful candidate’s starting pay will be determined based on job-related skills, experience, qualifications, work location, market conditions, and internal parity. 

Base salary is just one component of our total rewards package. As a fast-growing start-up, our regular employees are also granted stock options, and an opportunity to succeed when Ambient.ai succeeds. As a young start-up with product market fit, our stock upside is substantial, and a large part of our total rewards strategy. 

The pay scale below represents the starting base salary range we expect to pay for this position and is subject to change*: 

$25/per hour
