Reservations Manager
Altez Vacations specializes in the operation and promotion of luxury quality vacation rentals through-out the Siesta Key and greater Sarasota area. We are searching for highly motivated and talented Reservations Sales Manager, who is enthusiastic about the hospitality industry and offering personalized vacation experiences.
Altez Vacations is searching for a Full-Time Employee who is available to work both full-time and on-call hours. This critical role is at the heart of our business, focusing on the acquisition of guest reservations for our premier vacation rental properties in Sarasota, Florida. As the Reservation Sales Manager, you will play a pivotal role in generating and nurturing sales leads, ensuring each guest enjoys a seamless and exceptional booking experience. Your primary mission will be to drive occupancy rates and maximize rental revenue through strategic sales initiatives and unparalleled customer service.
In this role, you will be responsible for managing all aspects of guest reservations, from initial inquiries to post-stay follow-ups. You will maintain our reservation calendar, prevent double bookings, and ensure the accuracy of every reservation. Your duties will also include overseeing guest communications, resolving issues promptly, and ensuring all rental agreements are properly signed. Sales lead generation and acquisition are at the core of this position. You will actively create and implement sales strategies, identify marketing opportunities, and manage sales funnels to acquire new guests. Your ability to build and nurture relationships with various stakeholders, including local businesses, tourism organizations, and travel agents, will be crucial. Collaborating closely with our marketing team, you will drive promotions and special offers, ensuring our properties are showcased effectively across all platforms. Reservation Responsibilities:
Reservations Manager must be willing to follow a standard set of Policies and Procedures to ensure every reservation meets the highest quality and service expectations.
- Answer all reservation inquiries & questions including phone calls, emails, and text messages within a 1-hour time-period.
- Management of Reservation calendar to ensure reservation accuracy and to prevent double bookings a maximize rental occupancy.
- Managing all guest communications through email, text, and phone calls in regard to booking confirmations, arrival instructions, guest surveys and guest questions.
- The rapid resolution of guest issues that may arise before, during, or after and guest reservation.
- Ensure all Rental Agreements have been properly distributed and signed.
- Screening of all reservations to ensure accuracy and factuality of the reservation, the booking party and their guests. Reservations Manager is to ensure all guests understand and will follow the rules and regulations of the property.
- Collection of deposits and payments for all rental, concierge, and additional services.
- Accurate recording of all guest folio items and payments. Assisting finance department on all bookkeeping and financial reporting as related to guest reservations and additional services.
- Compile and distribute reservation and property management reports including arrival/departure list, maintenance orders, guest special requests, and financial reports on a daily/weekly/monthly basis.
- Collecting and responding to guest reviews, distributing guest reviews and feedback to dedicated owners.
Guest Sales Responsibilities
- Responsible for the active creation, implementation, and promotion of guest sales strategies and initiatives that effectively describe and promote the Altez Vacations brand and its vacation rental homes to maximize occupancies and rental rates.
- Manages sales and marketing strategies by collecting, analyzing, and summarizing data and trends.
- Identifies marketing opportunities by identifying consumer requirements, defining markets, analyzing competitor's strengths and weaknesses, and forecasting projected market trends.
- Oversees the implementation and management of sales funnels as they relate to the acquisition of guests.
- Identify pain points within the sales process to reduce friction in the sales process and achieve higher conversions.
- Actively seeks guest sales opportunities through the utilization of direct call and email campaigns, trade and tourism organizations, publications, promoters, travel agents, tour group operators, and event organizers.
- Cultivates relationships to grow clients, business networks, and brand recognition amongst the following groups: Local, national, and international businesses, Interest Groups,
- Trade Organizations including but not limited to:
- Tourism boards, Chamber of Commerce in key target markets, Realtor Associations, Local and state governments and regulatory boards
- Frequent collaboration with the marketing team to drive promotions and special offers.
- Management of property listings on all of Altez Vacations disturbiton partners including the Altez Vacations website, Airbnb, VRBO, and Booking.com. Listings include descriptions, photos, and reviews.
- Maintain updated knowledge of the company’s offerings and policies.
- Prepare and analyze reports on reservation trends and revenue management, adjust sales strategies and report on the effectiveness of promotions and offers.
Skills
- Employee must have a self-starter/can-do mentality to find reservation opportunities. Employee’s success is directly tied to the successful booking of reservations and ensuring a 5-star customer service experience. Employee must be able to create and implement lead generation strategies without direct supervision.
- Experience in short-term vacation rentals, real estate, or hospitality strongly encouraged.
- Problem solving & emotional bandwidth; Responding to guests/employees/owners with a quick on your feet, ‘can do’ attitude.
- Exhibit proactive & goal-oriented behavior that provides a willingness to learn, comprehend and improve our Altez Vacations brand and the services we provide.
- Strong project management and organization skills to coordinate the completion of several projects at the same time.
- Demonstrates strong business judgment and decision-making skills; ability to identify, prioritize, and articulate highest impact initiatives.
- Comfortable with leadership responsibilities; offering directives & deadlines with follow up and follow through.

Salary:
Employee will earn a starting base annual salary of $40,000. Employee will earn additional commissions for reservations Employee books. Historical annual commissions are $20,000 .
