Role: Program Coordinator
Location: Hybrid Remote / Manhattan, NY
Responsibilities:
· Update monthly Asset Tracker to be submitted with the customer invoice by extracting data from the customer and vendor invoices, communicating with both the customer and vendors to gather additional data for thousands of assets
· Assist Project Team with the creation of finance, scope, schedule, status and risk / issue program reporting
· Work with Project Managers on Program Management Office functions such as timesheets, on/off boarding of resources, reporting, preparation of internal and customer facing presentations, documentation submittal
· Update and issue initial contract paperwork package such as Non-Disclosure Agreements (NDAs) and Master Subcontractor Agreements (MSAs) to potential subcontractors for review and completion
· Draft initial versions of incremental funding Modification Requests (MRs) / Statements of Work (SOWs) for subcontractors
· Work with team to maintain central repository for Program records and files to include MRs, change orders, maintenance and licensing agreements and subcontractor files
· Responsible for producing weekly and quarterly document deliverables for review and submission to the client for payment
· Assist customer in preparing Monthly Grant and finance reporting
· Prepare PowerPoint presentations for client meetings
· Work with the team to support, coordinate meetings, conferences, etc.
· Provide overflow and back-up support as necessary
Requirements:
· Bachelor’s degree
· 3-5 years of project management (preferred) and administrative support in a professional setting
· Advanced Excel skills (vLookups, Pivot Tables, advanced formulas)
· Proficient in Microsoft Office (Word, PowerPoint, Project, Outlook)
