Alamosa County - San Luis Valley Regional Airport REPORTS TO : Airport Manager FLSA STATUS : Non-exempt SALARY GRADE RANGE : $17.00-$20.00 DOE DATE ADOPTED : March 2024 JOB SUMMARY: This is a full-time/ hourly position. An Airport Administrative Assistant performs a broad range of administrative, clerical, and public contact duties, and is a vital Airport team member. 40 hours/week, regular schedule Monday-Friday, and is subject to work weekends, evenings, and holidays as necessary to maintain the safe and continuous operation of the airport in compliance with Airport policies, local, state, and federal rules and regulations. This position reports directly to the Airport Manager or Airport Operations Supervisor in his/her absence. ESSENTIAL JOB FUNCTIONS: (The following are illustrative of essential functions to perform duties and responsibilities of the job. Creates/responds to emails
Picks up mail daily and distributes to appropriate staff
Aids airport management with research, typing and creating documents for various airport projects
Assists with record keeping and editing of documents to maintain FAA compliance with part 139
Keeps airport website and social media platforms updated
Assists with quarterly newsletter
Inputs payroll data for management to review
Answers office phone calls and takes messages
Responsible for grant monitoring, payment approvals, and receipt of payments
Using Quick-Books, tracks lease and other payments
Responsible for monitoring, sending lease statements, invoices, and collection and deposit of lease payments into QuickBooks and the Treasurer’s office
Aids in helping track invoices and monitor departmental expenditures and revenues
Emails/communicates with airport tenants regarding yearly leases and events
Creates credit card log and tracks credit card expenditures
Assists with entering employee leave requests into department calendar
Assists with finding sources of funding for airport projects
Registers staff members for attendance at work-related conferences and training seminars; coordinates travel and hotel arrangements
Takes meeting minutes, sends out agendas and notifications to Airport Advisory Board members
Establishes, assists staff with, and maintains filing systems for airport - paper and electronic
Scans documents and plans for electronic filing
Assists with monitoring the airport parking lot paid system and related customer service matters
Attends department meetings when directed
Other duties as required and assigned
QUALIFICATIONS : To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are the minimum qualifications one must have as well as a representative of the knowledge, skill and ability required. Knowledge :
Computer/word processing to include Google Drive, MS-Word, Excel & PowerPoint
Document preparation including letters, memos, agendas, forms, and other documents
Accounting or related experience is desired. Quick-Books experience is Required.
Airport or aviation experience is beneficial (airport management/operations, airline operations, pilot experience)
Any experience with FAR part 139 regulations is desirable

Abilities:
Willingness to learn ICS/NIMS training including IS100 and IS700
Willingness to learn and train on a constant basis to improve aviation knowledge and professionalism
Willingness to take paid training courses that may involve travel
Ability to type 40 WPM
Ability to read and interpret all instructions and manuals such as procedural manuals and safety manuals
Ability to take initiative to and to accomplish all assigned tasks
Ability to prioritize tasks and to adjust to changing priorities
Ability to work unsupervised
Ability to pass a background check and drug screening required
EDUCATION AND EXPERIENCE:
High school diploma or GED required
College Degree preferred
CO Driver’s License
Two years of office experience required
