Job Title: Office Administrator - AAA Pest Control

Job Summary:As the Office Administrator at AAA Pest Control, you will play a vital role in ensuring the smooth and efficient operation of our business. Your responsibilities will primarily revolve around scheduling jobs, collecting payments, and managing communication between our skilled technicians and our valued clients. You will be the backbone of our office, ensuring that our clients receive the outstanding service they expect.

Key Responsibilities:

  • Scheduling and Dispatching: Efficiently schedule pest control appointments, optimizing technician routes, and ensuring timely service delivery.
  • Payment Collection: Process payments from clients accurately and provide receipts as required.
  • Client Communication: Maintain clear and friendly communication with clients, addressing inquiries, and providing them with necessary information.
  • Technician Coordination: Coordinate with field technicians to ensure they have all the information and supplies they need to perform their jobs effectively.
  • Record Keeping: Maintain organized and up-to-date records of appointments, payments, and client interactions.
  • Billing and Invoicing: Prepare and send out invoices and statements to clients as needed.
  • Office Management: Assist with general office tasks such as filing, ordering supplies, and maintaining a clean and organized workspace.

Qualifications:

  • Proven experience in office administration or a similar role.
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in using office software and scheduling tools.
  • Ability to multitask, work under pressure, and adapt to changing priorities.
  • Attention to detail and high accuracy in handling financial transactions.
  • Customer-oriented mindset with a commitment to delivering exceptional service.
  • Knowledge of the pest control industry is a plus but not required.
