What You're Great At:

What You'll Champion:
  • Be the architect of superior internal and external customer service by constructing, implementing, and owning all systems that enhance communication, calendar management, digital presence, and office administration.
  • Lead our virtual support staff, guiding their activities and fostering a culture of excellence.
  • Drive team growth by crafting, testing, and refining effective recruitment ads, screening applicants, and arranging interviews for the Team Operator.
  • Act as the agent onboarding and launch process steward, providing training and fostering progress through strategic tracking and weekly accountability sessions.
  • Establish and monitor systems for database integrity, ensuring agent adherence to planned activities.
  • Lead the team's print and digital marketing efforts, crafting strategies that stand out in the crowded marketplace.
  • Oversee the quality of listing launches and contract-to-close procedures, collaborating with virtual professionals to increase efficiency and elevate the client experience.
  • Deliver a world-class client journey. Act as the primary contact via phone and email, ensuring a seamless transition from contract to beyond.
  • Serve as the trusted liaison between real estate agents, clients, title companies, mortgage brokers, and vendors.
  • Plan and orchestrate at least 4 high-caliber client events annually to generate business referrals.
  • Take charge of all team expense receipts, ensuring proper submission to the finance team and proactively identifying opportunities for cost reduction.
  • Develop and maintain the team's operations manual, detailing all systems and standards outside our tech leverage, Brivity.
  • Proactively keep team leaders informed about issues and contribute to problem-solving initiatives.
  • Engage in weekly 1:1 coaching sessions, PLACE trainings, and Brivity trainings, demonstrating a commitment to continuous learning and improvement.

Required Background and Experience:
  • Administrative Expertise: A minimum of 2 years in an administrative position.
  • Event Management: Previous experience in planning and successfully executing events.
  • System Enhancement: A proven work history illustrating the capability to integrate and enhance pre-existing systems.
  • Process Understanding: Demonstrated ability to grasp the complexities of process flows and lean processes.
  • Team Support: Evident history of providing enthusiastic and dedicated support to a team.
Additional Information
  • Competitive Compensation: The hourly rate is based on experience, typically between $24.03 and $28.84.
  • Additional Compensation: This role offers a generous bonus based on the team's production. If you are licensed, you can earn additional income through referral bonuses.
  • Licensing: A real estate license is not a requirement but a plus!
  • Learning Opportunity: Candidates should demonstrate a willingness to learn about real estate transaction coordination (previous knowledge is also a plus).
  • Office Hours: This position is based in the office from Monday to Friday, 8 AM to 5 PM, with the occasional need to work evenings and weekends for special events.
