We’re currently growing our team of Artisans with an Operations Coordinator to support our wholly owned subsidiary, BioChem Systems. This role will be located at our Support Center in Spring, TX and is responsible for entering customer orders, answering product and service-related questions, and providing administrative support for the team. Other responsibilities may include continuous process documentation/improvement, sales/marketing support tasks, assistance with billing related tasks, and other additional duties as their skills grow and the position evolves.

Duties & Responsibilities 

· Responding to Customer Inquiries & Processing Orders: Addressing customer inquiries and concerns via phone, email, chat, or social media promptly and professionally. Assisting customers with product choice, order placement, order status, and tracking shipments.

· Business Process Documentation and Improvement: Supporting the documentation and continuous improvement of all business processes.

· Providing Product/Service Information: Offering comprehensive information about products to customers, including features, pricing, availability, safety information, and directions for use.

· Handling Complaints and Issues: Resolving customer complaints, issues, or disputes efficiently and courteously to increase customer satisfaction and retention.

· Maintaining Customer Records: Accurately documenting customer interactions, inquiries, complaints, and resolutions.

· Escalating Complex Issues or Sales Opportunities: Escalating unresolved or complex customer issues to appropriate resources for resolution.

· Accounting Support: Assisting accounting team by gathering information needed to expedite billing and collections efforts.

· Continuous Learning: Staying updated on product knowledge, industry trends, and customer service best practices through internal training, the use of outside resources, and self-study.

Requirements

Minimum Qualifications

· High school diploma or equivalent.

· Minimum of 2 years related work experience. 

· Basic computer proficiency in Microsoft Office and other common programs.

· Excellent communication skills including active listening.

· Should be process-oriented and always looking for areas of continuous improvement.

· Excellent time management and problem-solving skills.

· Multitasking, time-management, and organizational skills.

· Service-oriented and positive attitude.

Additional or Preferred Qualifications 

· Bachelor’s Degree preferred.

· Project management and/or customer service experience preferred.

Working Conditions / Physical Demands

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times. 

Travel Requirements 

· Less than 20%. There may be occasional travel in the Houston area. There may also be some travel outside of the Houston area for training and development.
