Role: Bilingual Receptionist

Compensation: Starting at $16/hr.

Status: Full time/Non-Exempt

JOB SUMMARY:

This position is responsible for providing support for the daily operations of a department, function, or center to ensure smooth work flow and operations. Responsibilities may include assisting in the management of an essential department function or process, as well as providing administrative and advanced secretarial support as indicated. Acts as a contact for external agencies, and when assigned, as a resource for various departments.
Essential Job Duties include, but are not limited to:

  • Greets all visitors, members, vendors or examinees of the company and directs them appropriately.
  • Answers multiple phone lines in a professional and courteous manner.
  • Performs a broad range of administrative support details on a regular basis, including composing correspondence, typing, filing, scheduling meetings, and maintaining appropriate databases. These details require initiative and judgment to make independent decisions.
  • Maintains high degree of confidentiality regarding sensitive information.
  • Coordinate and perform member's intake process to the agency by ensuring all intake paperwork are completed with required signatures
  • Might be ask to assist with job postings, recruitment, and staff trainings
  • Ensure employee's files are complete with all required hiring documentation
  • Assists in department management processes including but not limited to: policy updates, creation of forms, completing surveys, billing, specialized processes, budgeting, payroll, contract management, credentialing, licensing, accounts payable, supply ordering, etc.
  • Manages an essential department function, process or project which requires a specialized skill set such as budget preparation and monitoring of monthly financial reports for variances.
  • Initiates requests for payments, purchase requisitions, and any additional paperwork related to the various financial matters for the department.
  • Compiles data, maintains all files/records and statistical updates needed to obtain state designation and verification.
  • Coordinates and tracks employee's certifications for applicable positions and keeps records as indicated for regulatory agency, designation or verification organization.
  • Participates in preparation for department reviews.
  • Coordinates and participates in special projects as assigned.
  • May prepare special reports and summaries that utilize advanced computer skills/software for word processing, spreadsheets, graphics, documents, reports and presentations.
  • Interactions may include, but are not limited to, all levels of staff in a variety of departments, physicians, patients, families and external contacts, such as employees of other health care institutions, vendors, community providers and agencies.
  • Coordinate members transportation schedule - pickup time and drop off.
  • Might be required to fill in for staff in case of absence.

  • Ability to balance, bend, stand, walk, kneel, twist, stretch, climb and sit. Ability to lift/ carry up and push/pull to 50 pounds unassisted.
  • Ability to tolerate environmental conditions, such as hot, cold, wetness, dust, noise, etc.
  • Ability to drive and travel independently to various sites, to communicate effectively, to follow instructions, to work effectively with staff, members, and the public and to use good judgment.

REQUIREMENT/LICENSE/CERTIFICATION NEEDED:
Ability to satisfactorily complete all necessary in-service training, and ability to obtain CPR and basic first aid, Article 9, DCW (obtained within 90 days of hire), Fingerprint card, and medication administration certification (if Applicable);

Must Have:

  • Possession of a valid driver's license and a demonstrated safe driving record.
  • High School diploma - Bachelor’s Degree in related field preferred.
  • Bi-lingual - English and Spanish Speaking
  • Customer service and administrative experience is required
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
