United South and Eastern Tribes is Hiring a SPF Administrative Assistant Near Washington, DC

The USET SPF Administrative Assistant should be professional, a multi-tasker and possess excellent communication skills. They will be responsible for maintaining polite, proficient communication and providing administrative support to the Sovereignty Protection Fund (SPF) team in a fast-paced environment. Incumbent will also oversee office logistics and operations. The ideal candidate is resourceful, a good problem solver, and has an upbeat attitude.

Exempt/Non-exempt and Salary Range:
The USET SPF Administrative Assistant is a non-exempt position with a starting rate of $22.12 per hour.

Reporting Relationship:
The USET SPF Administrative Assistant is supervised by the USET SPF Director of Policy and Legislative Affairs.

Location:
SPF Office in Washington, DC

Duties and Responsibilities:

1. Makes travel arrangements for the USET SPF team, such as booking flights, rental vehicles, making hotel reservations, completing registrations, processing travel advances and expense reports and reconciling credit card statements.

2. Facilitates completion, collection, and flow of required forms/documents such as invoices/requests for payment, and requests for information.

3. Provides scheduling support and calendar management to Director and General Counsel. Handles arrangements for meetings; secures meeting location, notifies appropriate individuals of meeting details through e-mail, Zoom, Teams or other source, and purchases refreshments if needed.

4. Manages office logistics, including the procurement of necessary repairs, equipment, furniture, and supplies. Liaises with building management, USET IT Department, and any 3rd party vendors or contractors for services or equipment. Assists in procuring/maintaining chain of custody on suite access fobs/keys, IT equipment, and other critical supplies.

5. Assists in the management of internal communication and prioritization, including organizing and filtering email and messaging, flagging and managing action items and tasks, and holding key players accountable to priorities.

6. Prepares and transmits notes, letters, reports, documents, PowerPoints, and a variety of other material from using Word processing software, including formatting, data collection and tabulation.

7. Reviews and verifies documents, general reports and records for accuracy and conformance to departmental rules and procedures.

8. Maintains various reference files, computer, and manual filing systems, assembles and organizes data, and prepares necessary reports.

9. Develops and maintains expertise in established organizational policies and procedures; provides guidance to SPF team regarding finance and accounting matters.

10. Greet and assist callers and visitors.

11. Handle sensitive information in a confidential manner.

12. Other duties as assigned by Director.

Qualifications & Requirements

1. Associates Degree in Business Administration or closely related field obtained from an accredited college or technical school that has equipped the applicant with the specific knowledge, skills and abilities to successfully perform the duties of the position. Documented experience in a paid related position will be considered in lieu of a degree.

2. Knowledge of office management systems and procedures.

3. Excellent computer skills, proficient in Microsoft Office Suite.

4. Excellent verbal and written communication skills.

5. Strong organizational and planning skills.

6. Must possess cultural sensitivity and ability to work within the customs and traditions of various Tribal Nations.

7. Excellent time management skills and ability to multi-task and prioritize work.

8. Ability to thrive in diverse environment.

9. Desire to be proactive and have a genuine desire to meet the needs of others.

10. Must be able to work in a team-based environment.

11. Ability to travel and work irregular hours, on an as needed basis.
