What you will be doing 

As licensing assistant, you will be an integral part of the team by collecting and appropriately dispersing all the documentation and notifications necessary for processing licensing related matters. The handling of these items in a timely fashion is crucial for our team. 

The position will be based in our main regional office in Phoenix, Arizona. Full time 8:00am to 5:00pm (no remote or hybrid) 

Main responsibilities 

  • Collect mail from office mailroom. 
  • Open, sort and scan licensing mail 
  • Distribute mail as appropriate (inter-office mail, email, or overnight mail) 
  • Monitor legal team email box and disperse emails. 
  • Filing/organizing historical license files. 
  • Assist license team with projects as needed. 
  • Process and allocate credit card payments made by license team. 
  • Handles company information with appropriate sensitivity and safeguards to ensure confidentiality and right to privacy, in compliance with regulatory requirements. 
  • Provides licensing coverage in other areas as requested by management. 

What we are searching for

  • High school diploma [or equivalent] required. 
  • 1-2 years general office experience preferred. 
  • Understanding of office equipment (computer, phone, fax, scanner, copier, etc.) 
  • Must be able to lift boxes weighing 20 – 50 pounds. 
  • Ability to prioritize work assignments with attention to detail. 
  • Excellent interpersonal, communication and organizational skills. 
  • Strong reading, verbal, and written communication. 
  • Ability to follow verbal or written instructions. 
  • Proficient with Microsoft Office applications (Outlook, Word, Excel, etc.) 
  • Must be able to type some data entry. 
  • Good command of the English language in order to compose clear and concise emails.
  • Ability to keep good historical records. 

Working Environment 

  • Most work is performed in a temperature-controlled office environment. 
  • Position may require sitting for lengthy periods of time at a desk or computer terminal. 
  • Position requires opening of many envelopes and mailing packages. 
  • Position requires the use of a computer, calculators, keyboards, scanners, copiers, telephone, and other office equipment during a normal workday. 
  • Lifting, stooping, bending, twisting, and reaching may be required in completion of job duties.
