The Accounting Specialist provides financial, administrative, and clerical support by ensuring payments are completed and expenses are controlled by, processing, verifying, reconciling, and paying invoices according to established policies and procedures in an efficient, timely and accurate manner. They ensure the company receives payments for goods and services and properly records the transactions by posting receipts and resolving discrepancies according to established policies and procedures in an efficient, timely and accurate manner.

Responsibilities:

  • Reconcile processed work by verifying entries and comparing system reports to balances.
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports, recording entries.
  • Maintain account ledgers by verifying and posting account transactions.
  • Maintain historical records and file documents.
  • Protect organization's value by keeping information confidential.
  • Enter approved Subcontractor invoices and job cost them.
  • Reconcile open bills against vendor statements.
  • Ensure that all customer invoices and payments are coded and applied correctly in the accounting system.
  • For every customer, ensure that the job is properly coded, payments, and A.W.O.s are properly applied to invoices, the account is properly billed, and charges to customer are accurate.
  • Approval is necessary before any credits can be issued to a customer.
  • Ensure that the daily A/R collections report is completed each day in Teams.
  • Support other accounting projects, as necessary.
  • Post customer payments by recording cash, checks, and credit card transactions and entering them in the appropriate system.
  • Follow collections procedures sending customers soft, medium, and hard demand letters via U.S. mail and email regarding past due payments.
  • Turn over severely delinquent accounts to our legal team, after all possible collection's attempts have been made.
  • Prepare cash and check payments for bank; totaling and recording the deposit amounts, filling out deposit slips and bundling the funds and slips

Requirements:

  • At least 2yrs of Accounting Experience – Accounts Payable & Accounts Receivable
  • Associate’s Degree in Accounting or Related Field is Preferred
  • Experience within the Construction or Home Improvement Industry is a Plus
  • Prior Experience in QuickBooks Enterprise and Microsoft Office Applications including Excel, Word, and Outlook
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees of organization
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
  • Ability to deal with problems involving several concrete variables in standardized situations.
