Overview:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be a multitasking professional with excellent communication skills and the ability to handle a wide range of administrative and executive support tasks.
Responsibilities:
- Maintain current and new providers’ schedulessuch as PTO requests, schedule changes, and time approvals.
- Chart prepping daily of upcoming schedules and same-day add-ons.
- Manage E.H.R. Inbox daily and distribute messages to the appropriate person
- Answering phone calls and scheduling appointments.
- Check in Doxy appointments.
- Assist the Front Desk as needed with checking in / out.
- Verification of insurance to ensure eligibility and plan coverage.
- Assist in preparing reports, presentations, and data
- Handle requests and inquiries appropriately
- Support the planning and coordination of company events
- Perform administrative duties including filing, typing, copying, binding, etc.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)and Adobe
- Experience with Outlook Calendar for scheduling appointments and meetings
- Strong administrative and organizational skills
- Ability to coordinate projects from start to finish
- Previous experience in front desk or office management roles
- Familiarity with phone systems and handling calls professionally
- Excellent written and verbal communication skills
- Computer literacy with the ability to learn new software quickly
- Prior experience as a personal assistant or in event planning is a plus
