Community College of Vermont is Hiring a Senior Administrative Assistant - Corrections Education (CCV Center Flexible) Near Winooski, VT

We are looking for a Senior Administrative Assistant who is an excellent communicator with a welcoming demeanor and strong organizational skills to become a part of our Corrections Education team at CCV. We are seeking a candidate with the demonstrated ability to work collaboratively in a self-managed team. The fast paced duties handled in this position require flexibility, strong computer skills, solid decision-making abilities, a positive attitude, and a willingness to adapt and change. Our ideal candidate will help provide high quality administrative and customer service for the Correction Education program at CCV. Engage in continuous process improvements, assist with special projects, and provide state-wide program support.
JOB SUMMARY:
To provide high quality administrative and customer service for the Correction Education program at CCV. Engage in continuous process improvements, assist with special projects, and provide state-wide program support.
ESSENTIAL FUNCTIONS:
  • Provide exceptional customer service and serve as a resource to students, faculty, staff, and community members, including applicants and prospective students for the Correction Education program.
  • Engage in friendly and knowledgeable frontline communication including answering phones and email inquiries, making appointments, and overseeing general reception of individuals contacting Correction Education at CCV.
  • Utilize systems and software to identify, research, and resolve common questions, routing or escalating more detailed and complex inquiries to appropriate contact in a timely manner.
  • Support Correction Education staff members with administrative tasks including arranging meeting and classroom space, preparing packets and mailings, communicating with vendors and other partners, and managing copying and printing of required forms and certificates.
  • Answer basic questions related to the Corrections Education program and make appropriate referrals to staff members, community partners, and other agencies as needed.
  • Work autonomously including planning, tracking, completing, and checking daily work assignments; assist with difficult or unusual problems or tasks; assist in training new employees
  • Organize and maintain various specialized department files and records, frequently involving cross filing/cross reference systems.
  • Coordinate logistical support for internal and external meetings including preparing materials, coordinating with vendors, online calendars, meeting notification, and notetaking.
  • Prepare arrange and coordinate and deliver materials for students at all 6 correctional facilities.
  • Advise and support development of CCV reentry programming for Student exiting their incarceration.
  • Work with leadership to provide recommendations for improving existing programming and current and future offerings to the incarcerated population.
  • Engage with Correction Education team including check in meetings, team meetings, and full staff meetings

MINIMUM QUALIFICATIONS (Education, Experience, Knowledge, Skills and Abilities)
Education: Associate's Degree
Experience: Two to four years of relevant clerical or administrative experience preferred, or a combination of education and experience from which comparable knowledge and skills are acquired. Experience with communications and marketing preferred but not required.
Knowledge, Skills and Abilities:
  • Superior skill with communications and customer service.
  • Skill in gathering, compiling, and presenting information in oral and/or written form.
  • Knowledge and skill in various word processing, spreadsheet, database, presentation, and integrated information software, systems, and associated hardware, e.g. personal computers.
  • Ability to work in a fast-paced, high volume environment and manage stressful situations with thoughtfulness.
  • Strong interpersonal skills as applied to interaction with culturally diverse populations, college administrators, faculty, staff, students, and the public.
  • Ability to work independently and as a member of a team in accomplishing tasks.
  • Ability to assess problems and exercise sound judgment in whether to address the issue or escalate the problem.
  • Ability to analyze situations, develop solutions, and make independent decisions based on established guidelines.
  • Ability to assess and adhere to correct policies and procedures.
Physical Requirements: Duties performed causes light fatigue of eyes, fingers, or other faculties as a result of repetitive motion and/or long periods of standing or sitting. Duties require little physical effort in work with light to moderate (up to 25lbs) easy to handle materials.
Working Conditions: Job is performed in general office or comparable working area with many and frequent distractions such as noise and interruptions. Work schedule may vary during high volume periods. This role may involve limited travel, evening and/or weekend work on occasion.
