We are seeking an Accounts Payable Clerk to join our team based in Woodinville, Washington. In this role, you will be expected to process invoices, maintain accurate financial records, and ensure appropriate vendor setup. This role offers a contract employment opportunity. Responsibilities:• Process approximately 200 invoices a week, ensuring accurate and efficient handling of accounts payable• Review invoices and statements for discrepancies, undertake research for resolution, and communicate with vendors as needed regarding invoice status or discrepancy resolution• Review and process reimbursements for sales department and other employee out of pocket expenses• Ensure proper new vendor setup, including appropriate W9 documentation• Generate annual vendor 1099 forms and maintain vendor ACH and wire information• Review sales purchase orders for accuracy of item vintage, pricing, payment terms followed by distributor invoice creation and tracking• Maintain current Accounts Receivable ledger within payment terms, weekly follow-up on status update with supervisor• Weekly follow-up with customers on past due invoices and requests for payment status• Entry of daily check and wire deposits, as well as daily Point of Sale (POS) cash and credit card deposits• Administer employee credit card program, including ordering new and replacement cards for employees, handling fraud disputes, coordinating points redemption for company charges, reconciling credit card expenses with receipts by the 15th of each month, reviewing compliance for meals & entertainment expenses, incentive expenses, capital purchases or suspect transactions• Review coding & upload credit card transactions to financial system by specified date on month end checklist• Provide administrative support to Vice President of Finance as assigned• Assist with general reporting such as supply budgets, wine samples, and complete general office management of mail, supplies and filing.
