The Program Coordinator plays an important role in providing overall support to the programs of the Lifetime Learning Center (LLC), a non-profit located in NE Seattle. The Program Coordinator is responsible for creating the class brochure, managing student registration, staffing the office, assisting students and faculty, managing Zoom classes, and providing administrative support to the director and instructors. Must possess outstanding customer service skills, and be well organized, detail-oriented, and proficient with computer applications such as MS Office (Word, Excel and Publisher) and Google Drive. Must enjoy working with people, be flexible, be able to manage multiple projects and deadlines, be a problem solver, and be able to work collaboratively as part of a team. This is a very rewarding job that provides a great deal of flexibility, autonomy and satisfaction.
Specific duties Include:
Manage Student Registration
· Provide customer service via phone and email during peak registration times
· Monitor, update and correct student registrations
· Prepare, update and distribute class lists
· Record student fees
· Reconcile registration checks
Support Students and Faculty
· Monitor staff email group, answer questions and resolve issues
· Answer office phone and monitor voicemail, provide follow up as needed
· Create class brochure and post class information on website
· Be on-site to open, close and manage the office while classes are in session (9-3, Mon-Thursday, during the 8-week fall, winter and spring terms and 9-3, Mon-Thursday, during the shorter 4-week summer term)
· Copy and distribute class materials
· Set up classrooms and support instructor AV needs
Manage Zoom Classes
· Schedule Zoom classes
· Send Zoom links to instructors and students
· Open Zoom classes
· Set up and distribute Zoom class recordings
· Troubleshoot problems with Zoom
· Provide Zoom training as needed
Event Planning
· Schedule and promote free Let’s Talk events (about 3 per 8-week session)
· Serve on event planning committee
· Support open houses, instructor recognition and other events
Marketing
· Update flyer and other marketing materials
· Manage volunteers and coordinate flyer distribution
Administrative Support
· Update website as needed
· Ensure equipment is maintained and operational for all classroom needs (copier, AV projectors, speakers, microphones, laptops, hearing devices), and that each class is correctly set up according to instructor requirements
· Purchase supplies for coffee lounge, classrooms and office
· Manage coffee lounge area daily: prepare and set up coffee, monitor and refresh supplies through the day, collect coffee donations, clean up at end of day
· Act as liaison to building manager for facility issues
Required skills: Excellent editing and proofreading skills. Proficiency with Word, Excel and Google Drive. Willingness and ability to learn and use software such as Wix, Constant Contact and Publisher.
Schedule: Up to 28 hours per week, for a total of 36 weeks/year (up to 1000 hours/year). Work primarily occurs two weeks prior to the start of each term (remote) and on site during the 8 weeks when the fall, winter and spring terms are in session, and 4 weeks during the summer session. Hourly rate $25 - $28 based on experience, with a generous performance-based end of year bonus. This is an hourly, non-exempt position with sick leave included, and other benefits negotiable.
