Job Title: Sales Coordinator
Job Summary

The Sales Coordinator is responsible for supporting the Sales Team in optimizing bookings and revenue, maintaining organization and coordinating the overall Sales efforts of the Hotel.

Essential Duties and Responsibilities

  • Answer telephone and email messages. Respond accordingly.
  • Maintain and stay abreast of the latest computer programs/innovations (as applicable).
  • Filing of all pertinent correspondence in a timely manner.
  • Distribution and maintenance of Banquet Event Orders and Banquet Event Order Binder.
  • Organize and distribute all group resumes.
  • Organize and distribute all banquet checks.
  • Ensure all upcoming groups have a valid form of payment attached to Group Master Accounts.
  • Type all correspondence pertaining to department.
  • Maintain adequate inventory of office supplies.
  • Responsible for the smooth operation of the office.
  • Assist Managers with details for our upcoming clients.
  • Type and distribute meeting minutes.
  • Maintain trace file as needed. Prepare Banquet Event Orders (BEOs) as per client needs.
  • Assist Managers with client event needs Assist in copying/faxing/mailing.
  • Greet guests/clients/employees when necessary.
  • Attend meetings/training as required by management.
  • Assist with small meetings, room blocks and various events.
  • Assist Rooms Sales with inputting group blocks into Property Management System along with cross checking for accuracy.
  • Develop SOPs (Standard Operating Procedures) for the Sales office to ensure efficient communication with other Departments within the hotel/resort.
  • Assist Director of Sales with reporting when needed.
  • Assist Catering Sales with catering events when needed.
  • Assist Director of Sales with all motorcoach and tour & travel business
  • Detail BEOs and coordinate meal counts for any events
  • Prospect new business with emails, site visits, phone calls and outside calls
  • Acquire payment method and process accordingly
  • Follow up on important dates – deposits, rooming lists, etc

Additional Duties

  • Completes projects as determined by Director of Sales
  • Actively seeks out other tasks when current work is complete
  • Participates in ongoing education and training of Franchise and Hotel Management Company

Minimum Qualifications

  • Education or Experience- Associates (A.A.) degree in business related field; or one to two years related hospitality sales experience and/or training; or equivalent combination of education and experience.
  • Language Skills- Must have developed language skills to the point to be able to: read, analyze, and interpret general business and sales documents, and financial reports. Write business letters, correspondence, summaries, and reports using prescribed format, and conforming to all rules of punctuation, grammar, diction, and style. Actively participates in discussions. Ability to effectively present information and respond to questions from management, clients, customers and the general public.
  • Mathematical Skills- Requires mathematical development sufficient to be able to: compute discount, interest, profit and loss, commission, markups and selling price, and percentages. Demonstrates accuracy and attention to detail. Possess strong analytical, problem solving, and organizational skills.
  • Reasoning Ability- Must have developed reasoning skills to be able to: positively identify problems, collect data, establish facts, draw valid conclusions and provide a viable solution. Thoroughly understand principles of service and/or product being sold. Ability to positively persuade and influence others to select your product and service. Determine or interpret work procedures for a team, assigning specific duties and encourage cooperative teamwork while promoting efficiency.
  • Computer Skills- Required proficiency in Microsoft 365 programs such as Excel, PowerPoint, Word, Teams, etc. Experience with Google tools such as Drive, Docs, Meet, Sheets, etc is also required.

Physical Requirements

  • Ability to pass a background check
  • Requires sitting, walking, and standing to a significant degree, reaching, handling, talking, hearing, and seeing
  • Lifting up to 20 lbs. maximum with infrequent lifting and/or carrying or transporting of objects weighing up to 10 lbs.
  • Ability to operate standard office equipment including personal computer, copiers, facsimile, and telephone
  • Inside environmental conditions protected from weather conditions

Job Type: Full-time

Pay: $22.00 - $25.00 per hour

Expected hours: 40.0 per week
