Intown Stars is Hiring an Administrative Assistant Near Decatur, GA

Company Overview:

Intown Stars offers healthy, positive programming for all ages in Atlanta's first and only 75,000 sq. ft. intown indoor multi-sport facility. We have grown exponentially over the last ten years. As one of the country's 500 fastest growing companies according to Inc. Magazine, Intown Stars has scaled significantly since inception and is operating at a trajectory that is expected to continue, if not elevate, over the next several years. The number of Intown Stars customers is increasing at a similar rate, consistently expanding our need for new leaders. In 2022 Intown Stars moved into a 75,000 sq. ft. facility in Decatur, Georgia. The move and $4 million renovation sets Intown Stars up to become the center of Atlanta's youth sports community. We have over 200 kids in our Team Program and there is ample room to grow with full time hours and management opportunities. 

Office Administration

  1. Provide administrative support to the gymnastics program, including answering phone calls, responding to emails, and greeting visitors.
  2. Maintain accurate and organized records, including athlete registration, competition schedules, and injury reports.
  3. Assist with scheduling and coordinating practices, competitions, and other events.
  4. Process and track athlete payments, invoices, and other financial transactions.
  5. Manage and update the program's database, including athlete contact information and team rosters.

Communication

  1. Coordinate communication between coaches, athletes, parents, and staff members.
  2. Draft and distribute newsletters, emails, and other written communications to stakeholders.
  3. Manage social media accounts for the gymnastics program.
  4. Assist with public relations and marketing efforts, including creating promotional materials and coordinating with local media outlets.

Athlete Support

  1. Provide support to athletes, including answering questions, resolving concerns, and addressing any issues that may arise per leadership direction.
  2. Assist with athlete registration, equipment distribution, and uniform fitting.
  3. Coordinate and arrange coaches' accommodations for away competitions.
  4. Help athletes with scheduling conflicts and conflicts of interest upon leadership approval.

Operations

  1. Assist with equipment maintenance, inventory management, and purchasing as requested.
  2. Coordinate with vendors and suppliers to ensure timely delivery of equipment and supplies.
  3. Assist with event setup and teardown at home competitions and all other events (on and off site) as applicable.
  4. Help with facility maintenance and cleaning tasks.

Special Projects

  1. Assist with planning and executing special events, such as fundraising galas or award ceremonies.
  2. Help with data analysis and reporting to track program performance and identify areas for improvement.
  3. Assist with grant writing and research to secure funding for the program.
  4. Support the development of new programs or initiatives within the gymnastics program.

Other

  1. Perform other administrative tasks as needed to support the gymnastics program.
  2. Attend meetings and take minutes as required.
  3. Stay up-to-date with changes in gymnastics meet entry rules, regulations, and best practices to ensure the program remains compliant and effective.

Minimum Experience and Qualifications

1 -2 years as a mid to upper level administrative assistant in a professional setting
