Psychiatric Associates of Pennsylvania is Hiring a Paralegal/Administrative Assistant Near Narberth, PA

We are seeking a Paralegal/Administrative Assistant to become a part of our team! You will provide overall support to the Dr.'s business needs. This is a full-time position, Monday-Friday, 9:00 AM-5:00 PM. The responsibilities are as follows:

Legal Assistant (Forensics) Responsibilities:​​​​​​

  • Work alongside a Forensic Psychiatrist on court cases as well as helping provide patient care.
  • Review and summarize cases and prepare reports for MD
  • Review medical, psychiatric, labs, pharmacy and other health care records for consistency or discrepancies depending on the type of case and purpose of the report.
  • Review court dockets, prison documents, inmate phone call transcripts and disciplinary records.
  • Create record summary and medical chronology for forensic cases.
  • View and take notes about photographs, videos and audio recordings related to court cases.
  • Request additional records from attorneys for any doctor or facility mentioned in the medical record that have not been provided.
  • Edit and proofread expert reports before they are sent to the attorney.
  • Contacting attorneys
  • Schedule meeting with attorneys or for depositions and interviews.
  • Set up Zoom Meetings
  • Assist with making invoices and billing
  • Send CV and fee schedules to lawyers Administrative Assistant Responsibilities:

Routine Scheduling

  • Confirm appointments and track on Google Calendar
  • Notify provider of changes in appointments (cancellations, additions, and changes)
  • Set up Zoom Appointments
  • Pull charts and add Progress Note in advance of appointment
  • Coordinate care between our office and our patients & primary care physicians and specialists.
  • Order labs and log results.

Routine Chart Maintenance

  • Filing paperwork in patient's charts as appropriate
  • Documenting phone calls in patient's chart
  • Scanning requests to patients (med consents, other consents)
  • Miscellaneous calls for patients- (insurance questions, pharmacy issues, etc.)

Medications

  • Call in and e-Prescribe medications for patients
  • Default is to leave voice message with pharmacy
  • Speak to pharmacist directly when directed by provider
  • Coordinate samples to give to patient's as needed
  • Notify Patients of completion when appropriate
  • Prior Authorizations for specific providers.

Routine Communications

  • Emails ~ from patients, doctors, correspondence
  • Phone calls
  • Completing requests from doctors re: patients and miscellaneous information

The ideal candidate must possess the following skills:

  • Ability to multitask and prioritize efficiently
  • Ability to recognize and solve problems
  • Have an understanding of and adherence to strict confidentiality.
  • Excellent customer service skills

Education:

Certificate or Associate degree in Paralegal Studies. Minimum 2 years of experience. Preferably with some form of medical knowledge or experience.

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
