Title: Administrative Support Specialist
Classification: Non-exempt/Full Time
Reports to: Production Manager
Location: St. Charles, MO
Date: 2/13/23
Job Summary: Zoltek is looking for an Administrative Support Specialist to join our team at Zoltek’s Missouri Research Park (MRP) facility in St. Charles, MO to provide general support in the areas of inventory control, purchasing, and office administration.
Essential Duties & Responsibilities:
Office Support:
  • Active participation in office management, including handling general clerical tasks
  • Organize and prepare meeting schedules for various departments
  • Ensure meeting spaces are properly requisitioned ahead of schedule
  • Manage office equipment and supplies, ordering new equipment and supplies as needed
  • Work collaboratively with other departments to help solve clerical issues
Purchasing/Sales Order Processing:
  • Review and enter purchase order data into inventory control system
  • Accurately issue purchase orders with vendors per buyers’ requisitions.
  • Issue Requests For Quotes (RFQ’s), analyze bids and choose vendors.
  • File purchasing documentation / organize electronic records.
  • Issue sales orders to Shipping.
  • Input information into the inventory control system for open sales orders.
  • Communicate special requirements for shipping per Sales and Marketing.
  • Source transporters and resolve freight issues as necessary.
  • Coordinate releases for blanket purchase orders.
  • Enter and file receipts of purchase orders.
Inventory Control/Receiving:
  • Review and enter inventory control production data.
  • Filing of inventory control documentation.
  • Return goods processing.
  • Coordination of outside material processing
  • Process in inventory transactions for raw material received from external sources and other Zoltek facilities
  • Perform cycle counts and lead others in cycle counting.
Qualifications:
  • High school diploma or equivalent
  • 1 year experience with purchasing and inventory preferred, familiarity with performing counts of
materials on the production floor and in warehouses.
  • Ability to use computer to communicate, perform word processing, spreadsheets, databases and
graphics. Examples include Microsoft Outlook, Teams, Excel, and Dynamics AX.
  • Good interpersonal and communication skills – face-to-face, telephone, email and text message.
  • Able to add, subtract, multiply and divide in different units of measure including metric system.
  • Able to apply yourself to carry out instructions in written, oral, or diagram form
Physical Demands:

  • Intermittent physical activity including bending, reaching, and prolonged periods of sitting.
  • Employee is regularly required to use hands to finger, handle, or feel.
  • Employee is required to work extended periods of time in front of a computer.
  • Ability to lift up to 50 lbs
