Summary/Objective:

  • Arrange meetings, and maintain constituent database record of the Executive Director’s contacts and correspondence, providing context as needed to assist in discerning priorities among the many draws on Director’s time.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response using independent judgement in the absence of the Director.
  • Provide a bridge for smooth communication between the Executive Director's office and internal teams on issues related to COVID; demonstrating leadership and discretion to maintain credibility, trust, and support with senior management and staff.
  • Must maintain confidentiality and handle sensitive information with a high level of discretion.
  • Draft Executive Director Memos, emails, power-point presentations and other materials as needed; edit, proofread, and format confidential documents.
  • Organize and prioritize large volumes of information and calls.
  • Type general correspondence, memos, charts, tables, graphs, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

Physical Requirements/Working Environment:

  • This position requires a person who can work with many distractions, interruptions and still accomplish their objectives and meet established deadlines. This role routinely uses stand office equipment such as computers, photocopiers and other necessary equipment.
  • The person in this position works full time Monday through Friday within the YWCA Central Alabama, located in downtown Birmingham. The Shift is between 8:00 am 5:00 pm. Some flexibility in hours is required based on department needs, but he employee must work 40 hours each week to maintain full-time status and at least 30 hours each week to maintain health benefits.
  • The work takes place in an office setting, within the center, and at times, outdoors or in the community.
  • Must be able to stand, walk, sit, talk, hear, use hands, kneel or crouch, bending or stooping, and use a computer for periods of the day.
  • The person may need to lift or carry up to 50 lbs. when supplies.
  • This role may require work related travel.
