YMCA of Florida's First Coast is Hiring a Copy Of Executive Assistant Near Jacksonville, FL

Position Summary:

Provides high-level administrative support involving the use of discretion and independent judgment to the EVP, Chief Operating Officer/ CFO.

Essential Functions:

  • Exercises discretion and independent judgment in handling confidential and sensitive information in connection with the Executives’ responsibilities, which may include financial, personnel, funders, and grant-related data.
  • Prepares correspondences, reports, agendas, and spreadsheets in support of the Executive’s needs.
  • Manages travel arrangements for Executives, as needed, and schedules for out-of-town visitors and employment candidates.
  • Coordinates all arrangements for meetings of various committees, task forces and groups (notices, materials, food and minutes).
  • Prepares for and coordinates special off-site Association leadership meetings as
  • Maintains organizational charts for assigned
  • Coordinates staff business cards, stationery orders and office supplies for business/administrative
  • Fields all incoming calls for the EVP, COO/ CFO.
  • Maintains corporate databases for various reports, committees and mailings.
  • Other tasks or projects, as assigned.

Qualifications:

  • Bachelor's degree in social services, business or equivalent preferred, or a certification for administrative professionals
  • Three or more years of related experience working as an assistant to high level executives preferably in a not-for-profit
  • Intermediate knowledge of Microsoft Office Suite including Word, Outlook, Excel, PowerPoint, Forms, Smartsheet, Google Docs, Canva and other administrative tools.
  • Handles self in a professional manner. Works with integrity, discretion, and maintains confidentiality. Upholds a professional
  • Ability to multi-task and work well under
